You can't. As I said you need the service engineer with the laptop. These Office Machines are NOT consumer serviceable. They hook up the laptop with the Ricoh software and it interrogates the computer, the mainboard and everything on it. The error message you get is from the brains inside it..
The printer will have to be network connected. Connect it to a router with a standard ethernet cord. Plug one end of the cord into the printer and the other into any LAN port on the office router. Have a computer find any network connected printers. If you're a running Windows, this will likely be in Start->Devices and Printers->Add a printer. Let it search and install drivers for your printer and it should be set. Repeat this find process on any other computers you wish to connect.
Absolutely! The only thing needed for use as a fax is being plugged into a live phone line. These are specifically designed for just that purpose so the computer does not have to be left running while fax machine and copier remain on in the office. Mainly so the office can shut down the computer when not needed to save power when not needed. Ex. to receive faxes at night when the office is closed. You only need to leave the printer on and it will function as a stand alone copier fax machine. The computer is only required when you want to print a document or scan a page and save it.
