Is there a way to turn off scanning in color?

Set the default to gray scale in the printer preferences tab.

When the printer is setup on each PC, the default option should be set to black and white (click on the quality tab). When wanting to print in color, click print in the program you are in, then click on printer properties, click on quality tab, then set to color. It will only print the current print job in color.
