Voice mail when someone calls, after 4 rings the message comes on, then after the message it doesn't allow you to leave your message, it tranfers the call to an extension first, then the message comes on again, then you call leave a message. how do we get rid of the system transfereing the call to an extension

How to leave a voicemial message

There are three elements to voice mail; having a Panasonic brand voice mail system, recording the greetings, and setting call forward conditions. Which ones have you done?

The default access to voice mail is extension 500 on the intercom, but we used to use 165. When you dial it, the lady says "welcome to the Panasonic voice processing system". If she doesn't or you're asked for a password, or you have not done the tutorial, then you need to do that and it guides you to the setup of the greetings, name, and password change. After that, you dial *710x 500 (or your VM access) # on the inercom to set call forward to voice mail, with 4 being no answer (my preference since it gives me the option of answering the 2nd call or letting it fall to voice mail), or 5 for Busy/No Answer.

The message manager (mailbox 998) and the system owner (mailbox 999) has the ability to access and change how the voice mail system performs. The owner can change your name for the directory or reset your password and/or
setup or delete your mailbox.

My message light will not turn red so I am not aware that I have a message. If I push the "message" button, it is busy

You are missing a lot of information, but here goes. Your message light is unlikely broken in a new phone. Have someone ring your extension and press "4". Now look at your phone and press MESSAGE. The display tells you who left the message and you get 2 options on your soft keys to call or erase the message.

Now, here's the part you left out. What is leaving the message? It could be coming from CO based voice mail, a TVA system, or a SVM card. If it's a TVA voice mail system, it has to be programmed with your mailbox and extension (usually the same). A message left in the General Delivery Mailbox doesn't light anything unless it's programmed to do something, and a message left in your box usually works if it's properly set up to begin with. We try to set up our TDA's to eliminate GDM messages, so that means that Call Forward lights must be lit at every extension that needs voice mail and there's always a choice to direct callers to extension 101 or some other mailbox but the GDM. If it's CO based, you bought the wrong system, and an SVM card has a set of instructions to assign extensions to slots.

Most likely you'll find the missing information in the Programming Manual of the voice messaging system.

When someone calls me the ringer on the phone does not ring.I do not know how to turn the ringer back on. Also when someone tries to leave me a message the answering machine does not record the message....

On the phone not ringing, just push the volume up button while the phone is not in use, that should adjust the ringer volume. As for the message saying that calls are being routed to an automatic message sertvice, that sounds like a voice mail offering from your service provider, not the phone. Uniden phones have a default greeting that says "Hello, no one is availible to take your call, please leave a message after the tone" Contact your service provider and find out if you have voice mail service on your line. If you do and want to use the answering machine on your phone, you will need the service provider to allow for more rings before the voice mail service takes the call.

Studder Ring

I am thinking that you have a ring that the machine does not recognize. If you look at your manual on page A-2, it shows what rings the machine can recognize. If it is not one of those rings, then you would need to ask the phone company to alter the 'custom' ring.

If it is an acceptable custom ring, page A-2 also shows you how to set the machine to pick up on that specific ring.

It rings 20 times before voice mail comes on and they can leave a msg.

You are asking questions about your Toshiba phone system and the voice mail system attached. You could have one of several different Toshiba phone systems and several different voice mails.

The system has timers for things like "No answer transfer timer" and also rules for what it does at that point. (transfer to voice mail box, transfer to voice mail branch, transfer to the operator.. etc..) It can get very complicated. Most likely you are just dealing with the no answer transfer timer for your specific phone port but even just changing that can be very complicated. Many Toshiba phone systems need to be programmed from a computer using specific software. If you do not have someone in the company that knows how to make simple changes to the phone system you would need to get a phone system installation company to make the changes. Hopefully you know the company that installed the system??

Recording messages

You are asking about changing you voice mail and phone system settings. Your phone can work on several different Panasonic phone systems and you could have different voice mail systems as well.

 

The phone KX-T7633 has only a user guide that covers the basic features of the phone itself. You need a programming and installation manual for your phone system AND your voice mail. They are not the same part and have different manuals.

 

So, your first step is to find out the model number of your phone system and voice mail system.

Call will not Transfer to Voice Mail

Typically you want your phone system to ring your phones (say extension 10, 11 and 15) and then if no one answers after so many rings the call is transfered to the port the voice mail is on (let's say it's port 16) The voice mail is set to answer right away but does not "ring" until the call is transfered to it. This way (at 4 rings) if a call comes in on line 1 and you answer after 3 rings but a call comes in on line 2 at the same time, the first ring on line 2 will not make the total = 4 and set off the voice mail. I would guess the port at your voice mail is not set to ring and nothing is set up to transfer calls to your voice mail. Did you set this up yourself? How did you program the phone system?
