"user tools", scroll to....."fax features", scroll to "setup", scroll to "no. of rings"
Set the appropriate number of rings to not conflict with Voice mail, etc...usually 4 will do, but just test the phone and fax after you set it up, to make sure it is ok. You can test it by calling it from your cell phone, or a land line (on another line), in other words, you don't have to wait for a fax, just dial the fax number and see when the fax picks up, then try the phone number etc.

If this is on a network your network tech needs to set up your machine through one of the routers.
If the machine was pluged into the phone socet direct, there would be no problem. The phone will ring constantly, until you plug the phone to the machine.
If the machine does not answer the phone, then the problem maybe in the machines confguration for auto answer, or a modem board not working.
But on a network, the computer is trying to find the signal, but can't because it cannot find the machines signal.
This problem is in the network side. Check with your network specialist.

There are two ways to configure a fax machine to answer the phone line. The first way is by pushing the "auto answer" key on the keyboard of the fax itself. When this key is used, the fax machine answers all calls that come in after a certain number of rings. The other way is to manually press the fax button when an incoming call is happening. You can set the number of rings for your machine to pick up by using the keys on the fax machine under the menu feature and then scroll using the up and down arrow keys until you see fax set up and then number of rings.
I have heard about the option that your speaking of, where they give you a separate phone number for your customers to fax when you own a business line but I don't know how the fax machine itself would be able to distinguish between the normal ring of a regular call and the double ring of the merged fax line call. I was told that when I set that up for my friends business recently, that the machine would auto recognize the double ring without any programming and to use the auto answer feature for all calls. He has not had any faxes yet (its a new business) so I can't say for sure if it works or not? I can say that none of his regular calls have been picked up by the fax so far though.

Connect the multi-function printer to a phone line. Most printers with fax capability have more than one phone jack, so make sure you are plugged into the right one.
Turn the printer on and access the start-up menu. Pick an answering mode based on your expected usage of the fax capabilities of your machine (see the next steps for more information about this).
Put the printer in manual mode if you expect little fax traffic. The manual mode usually requires you to pick up every call that comes to the machine. If you hear the signal for a fax, you push the start button and hang up.
Choose the automatic mode if you expect a lot of faxes or have a dedicated fax line. In automatic mode, the printer listens to incoming calls and determines whether they are faxes or voice calls. Voice calls get sent on to your phone, and faxes are picked up by the printer.
Select the number of rings you want your multi-function printer to give you before dropping a call. If you are using the manual mode you may want to go with four or more rings. Two rings should be sufficient in the automatic mode.
Load paper into the paper tray. Check on the paper level frequently if you receive a lot of faxes.
Set the desired print quality, and you are ready to receive faxes.
