How to change voice mail box greeting?

Employee who set it is no longer with us. we are unable to locate a manual. the message light is on. we do not know the password and we would like to change the message people hear when they call.

We have a business panasonic xdp system and are unable to change the greeting message. How do we access this initial contact message. We are able to change individual mail boxes on the system.

Assuming you dial 165 to get to the voice mail system (a TVS type box) you press #6 * 998. You better know the password if it asks and you need to know where the greeting was recorded. It sits either in a Custom Service box (1-100) or a Company Greeting (1-32).

I'd be hoping that someone left a TVS Installation and Programming manual with cheat notes lying around. If not, there's a way into the TVS via a terminal program and the DB-9 serial connector on the box. That will let you read the database.

Your Panasonic installer/dealer might have the passwords and setup in their records.

Setting Up Your Voice Mail from page 10 in your manual:
Voice mail allows callers to leave voice messages, which can be retrieved any time.

Note: Once your voice mail account has been set up, you can use the Voice Mail folder (under the Message menu) to view details of voice messages in your voice mail box.

1. In idle mode, press and hold the key or dial your own mobile number
to dial voice mail.

2. Follow the prompts in the new user tutorial to setup your mail box.

Greeting message

Since you asked this question in a 76xx forum, you have a TDA phone system. A TDA has timers that set where unanswered phone calls route to, one of the ports being voice mail/auto attendant.

There is no "simple" explanation for setting auto attendant. Each installation is different. You first of all, have to know which phone system and voice mail you have, then, know how the AA was set up.

For example, in a TVA voice mail, the setup is visual. you log in via the console and drag icons to the screen that maps the call routing. Since you start with custom menu 1, it sets your custom greetings 1,2,3, etc. In a TVS, you build custom service menus by hand.

While phone intercept is straightforward, trunk (line) is not. The voice mail knows whether the call is coming from a phone or a trunk and each has to be defined. In the case of an extension, you already know it goes to a voice mailbox and plays the greetings established for that person. In the case of a trunk, it may be a different greeting for each trunk for day, night, lunch, and break. Those parameters are all set in the TDA and TVx both.

I hope your head hasn't spun around several times, but the best idea is to sit with your voice mail administrator and phone system installer and get the picture of how the system was designed. You should get specific instructions of how the system handles calls and how you change greetings. You need to get the passwords and instructions for mailboxes 998 (message manager) and 999 (system manager) and a location of all greetings.

If you're into learning, a copy of the manuals for the voice mail and the windows software (if TVA) should have been delivered to your site with the system. In addition, the PT Programming manual (PTPM) can be requested from your dealer and it will allow you to make changes to your TDA.
Spending 5-10 hours with the manual some time will give you a better idea how the systems work.

Also, a spare PC with USB ports and a network card could get you remote maintenance from your dealer and maybe get you free or reduced cost maintenance and changes.

Voice mesage

What manual did you download, where is the message located, and what is it recorded on?

A 7433 phone is just a phone, it has no messages. It is connected to a TD-816/1232 Key Service Unit and a TVS/TVM/TVA voice mail system if it's Panasonic branded.

When you call in to the TD system, the voice mail answers the call and plays the Auto Attendant greeting. Is this the one you want to change? Or do you want to change the greeting that you get after the AA answers any they dial your extension?

Each of those messages can be changed from the Message manager's box or from your own mailbox, using the codes and passwords supplied at installation.

How do I change the voice mail recorded message? How do I get a manual for this existing system?

IF you know the password for the mailbox then log into the voicemail by dialing the Stratagy access code, after Stratagy answers dial * , then your user ID mailbox number plus #, then your security code plus #. The User Main Menu plays, press 2 to change your greeting, the Select Greeting Menu plays, press the greeting number, the Record Menu plays, press 2 to record your greeting, Record greeting, as soon as you finish press #, the Record Greeting Menu plays, press 1 to review or 2 to re-record. Press 9 to save and return to the Select Greeting Menu and 9 again to return to the User Main Menu, hang up at this point.

Voice Mail recording

If you call into your voice mail you should get passed all the messages and it will say something to the fact of personal settings.. in there you can change your greeting.

Message Greeting

The KX-T7456 is a proprietary system phone. You have a Panasonic phone system and a voice mail, both separate items with their own part number. Your phone can work on several different systems and use different voice mail so your first step is to determine the part numbers from the system and voice mail. Then you will need a "programming" manual or possibly "administrator's manual" NOT a "user guide" for at least your voice mail and maybe for the system as well.
