Ricoh Aficio 5000L Fax Printer-Adding names to Group name
I work for a company that has a Ricoh Aficio 5000L Fax Printer.
We currently have a customer database that we can e-mail fax information to our clients.
We need to make changes in our Groups from time to time, since our customers do have personnel changes.
I have read the manual and cannot find the exact item that covers this problem.
I can edit the group and delete all the names in that particular group, which I do not want to do. I would like to add names to a group.
Since the person who was trained for our company on this machine is no longer here, we need someone that is able to do this, and I was asked to do it.
Again, I need to add names (e-mails) to an established group, and need to know step-by-step how to accomplish this task.
Thank You

While "Speed Dialing" or "Speed Dial" is listed in its fax specifications on some sites, it appears to be a mislabeled categorization of its group fax feature as HP's manual makes no other mention of it--save to say, the "fax to multiple numbers" (or multiple recipients) feature. There does not appear to be a speed dial list, but there is a phone book feature for adding contacts (individual numbers) & groups. (The following is detailed in a more explanatory way on pages 65-66 of the user's manual (http://support.hp.com/us-en/product/HP-Officejet-5740-e-All-in-One-Printer-series/6617253/model/6617254/manuals?cc=us&lang=en).
1. From the printer control display, touch Fax. 2. Touch Send Now. 3. Touch the telephone symbol to access its phone book feature. 4. Touch the person symbol for a phone book contact; or touch the multiple person symbol for a group of phone book contacts. (Note: Contacts should be established before any of these could be added to any group.) 5. Touch + (plus sign) to add a contact/group; or touch the gear symbol (edit) to edit/delete a contact/group. 6. Touch Name. 7. Changes to contacts/groups: •Adding a contact/group: type the name, & then touch Done. ••Adding a fax number to a contact: Touch Fax Number, enter this contact's fax number, & touch "Create". ••Adding a contact to a group: Touch Number of Members, select all of the contacts to add to this group from this printer's phone book, & touch Select followed by touching "Create".
•Editing: Select the contact/group name, & then touch Done. Then... ••Editing a Contact: touch Fax Number, enter the fax number, & touch Done. ••Editing a Group: touch Number of Members & deselect the contacts to remove from this group or touch + (plus sign) to add contacts to this group. Then touch Done.
•Deleting a contact/group: Select the name, & then touch Delete followed by touching Yes.
The fax user manual for the 450 is no longer available from Ricoh, so I can't check for sure, but the basic procedure is to press the User Tools button, go into Fax Features, and under one of the tabs will be a box where you can change the fax header information.
Hi This is possible through the control panel, however a bit complicated to describe here. Try downloading the User Manual from the Ricoh Website. They are there, and free.
First, determine whether the telephone line is working properly. Remove the telephone line from the machine and replace with a test handset. Try calling the fax number and see if you get fax tones on the handset. If not, there is a problem with line switching. If you do get fax tones, then the machine is at fault. Now plug the line cord into the machine, check that it is in the correct input jack, as there may be unmarked jacks open on this machine. Check the display and see that it is ready. Is the machine trying to communicate with another fax number? If so, change the service station fax number to a machine that is close by.(User Tools 2 then immediately 1998 start within 3 secs. then 13 and change the number.) Try to send or receive a fax and observe there is or not 3 sheets of data sent to the machine you just programmed as the service machine. So then, is the machine configured with 1 or 2 modems? Determine that the problem happens with both modems. If so, the modem is not suspect. Now let me stress this, that if you are not a qualified Ricoh technician, do not attempt any further checks yourself.
Next, do a complete level 3 reset. Remember that the machine may be configured with a feature upgrade card which may contain 999 additional speed dial numbers. Do not remove this card yet. However, repeat the receive checks with the memory card removed. If there is no Feature upgrade card or a fax on demand card in the left hand slot, then check the contents of system switch 16. If this is set to 1. If so, then the machine will not work unless a ic or data copy tool is present in the slot. Repeat the tests. Power off and remove the memory card and the feature upgrade card. Power on. Set System switch 16 to 0 and repeat the tests.
Theres more tests, but I don't have the space to go through them all, the manual is 300 pages.
