I've just discovered that Ricoh's built in software only works if your SMTP server sends out without picking up password or authentication.
Having same issue and it worked fine when it was behind corporate firewall with the same connection settings (IP address) as the SMTP server.
Once I changed web hosting - it won't recognize the SMTP server or any authentication methods. According to IKON (Ricoh support for the USA) - your SMTP server has to have "relay exception"

The two most likely problems preventing you from forwarding your faxes are:

1. There is a problem with your DNS server translating the SMTP server name. Instead of typing in the server's name (smtp-server.rochester.rr.com) try typing in its IP address. If the problem lies with DNS, that should correct it.

2. The Linksys router may be blocking port 25. Go into the router's configuration settings and open an exception for port 25, or enable port forwarding for that specific port.

Updating a driver would not affect the mail server settings. could be a firewall issue but i doubt it. is the smtp server on your lan or are you using a hosted mail solution? the only things that matter there are the ip address of the smtp server, authentication, ssl (or not), port numbers, default from address, dns settings, and message size. the mail function is totally independent from you computers operation unless an on site server or workstation is hosting the smtp server.

I get "Send Error (SMTP)"

It took me a while to figure this out. Your 3220 must be connected to ethernet (I havent tried it with the 3220 connected directly to the computer). Also, this works with a free email with domain Godaddy account, so YMMV.
1. Open your web browser and navigate to the 3220's CentreWare IS. 2. Click on "Protocol/SMTP Server" 3. Check "Host Name" 4. Type smtpout.secureserver.net/80 for server/port 5. Check "SMTP requires authentication" 6. Enter your username/pw 7. Click "Save Changes"
If you are asked for a username/pw to save the settings, the 3220's default are admin/1111.
Now click on "E-mail/E-mail Setup" on the navigation. Make sure your default [From:] address is your sender email address (they must match). Click "Save Changes"
As a final recommendation, I strongly suggest that you create your address book (E-mal/Local Address Book on the navigation) to make it easier to send by email, otherwise you will have to manually enter email addresses using the 3220's keypad (very slow!). Create groups for sending scans to several emails without having to select each individual email from the 3220's panel (also slow!).

for smtp server try same but with smtp-
smtp-server.neo.rr.com
smtp-server.roadrunner.com

to test them just save the settings and try getting the emails

I can't get exchange to smtp out. godaddy was the email host but they weren't very helpful and change MX to point to my server. Now it's worse... can't get incoming or outgoing.

1. The mx record has to be changed to an adress, which can be reached from the internet. It has to be an public IP Adress or you have to use dyndns.org or something like that. If the Server is not reachable directly in the Internet, you have to set your Internetrouter to forward smtp to your server in your network.

2. There are cases, when you need to configure a Smart Host for your e-mail server. A typical example is the situation, when your ISP blocks outbound connections on TCP port 25. Another, very common case is when you are using an IP address which belongs to a range of Dynamic IP addresses. It is a common practice to drop smtp connections or discard e-mail messages sent from a dynamic IP address.
a. Open your Exchange System Management Console - Administrative Groups - "Groupname" - Server - "Servername" - protocols - smtp.
b. Click right to"virtual standard server for smtp" and choose properties.
c. Change to tab delivery.
d. Then choose the button advanced.
Here you can set the full qualified domain name and you can set a smarthost entry. May be this helps

Were did you get the OUTGOING pop settings from? They may not be correct. Query GoDaddys site for info on how to set up the account in outlook

nothing to do with the scanner.. your email is not set up.. contact your internet provider to give you the outgoing and incoming servers for your email.

Pop email settings with godaddy domain

I FINALLY GOT THE ANSWER! I ALSO HAVE A GODADDY EMAIL ADDRESS AND USE A HTC TOUCH PHONE FROM SPRINT. I've entered the following settings and my email now works like a charm! This is for a POP3 email address, not an IMAP email address.

You cannot send the email unless you have a sprint email address. Email must go through the Sprint server in order to be sent (incoming mail does not).

Call Sprint Tier II (877.345.7895) and ask them to set you up with a User Name and Password for the outgoing mail server. All the rest of the settings are as follows:

EMAIL SET UP Email Address: [email protected] Your Password: the password you use to access your go daddy account Check SAVE PASSWORD Click NEXT UNCLICK TRY TO GET EMAIL SETTINGS AUTOMATICALLY FROM THE INTERNET. Click NEXT. Your Email Provider: Internet Email Click Next Your Name: Dales Wife Account Display Name: 'GoDaddy Email" or whatever you'd like to call it so you can identify this account (you can have several email accounts sent to your phone). Click NEXT Incoming Mail Server: pop.secureserver.net Account Type: POP3 Click NEXT User Name: Again enter [email protected] Password: Enter your password again Check SAVE PASSWORD Outgoing (SMTP) Mail Server: smtp.sprintpcs.com CHECK Outgoing server requires authentication UNCHECK Use the same user name and password for sending email Advanced Server Settings: DO NOT Check: Require SSL for Incoming e-mail DO NOT Check: Require SSL for Outgoing e-mail Click DONE to return to previous screen Click NEXT Outgoing Server Login: [email protected] Password: When you call Sprint Tier II they will ask you what password you'd like. Check Save Password. Automatic Send/Receive: I use every 5 minutes and it doesn't seem to run my battery down. Click FINISH. This has been driving me crazy for two months now so I really hope this information helps somebody else out. Best of luck! NOW, if anyone knows how to remove those annoying envelopes when I access my mail - I could use the help. There are three envelopes there (one for GoDaddy mail, one for Outlook and one for Picture Mail.) I do not use Outlook or Picture Mail and would love it if I could remove those.

When enabling the Offramp Gateway, this equipment works as an SMTP server to receive
Emails from the Internet. To enable the STMP transmission in this equipment, designate the hostname (or specific domain) that relates to this equipment in the DNS server, and designate the MX record to receive the Emails that are sent to the equipment’s domain in the SMTP server in your local area network. Then the SMTP server should be configured to transmit the received Emails to the equipment in the SMTP transmission. For example, if the hostname of this equipment is designated as “host1.ifax.com”, the SMTP server receives an Email whose forwarding address is “<account name>@host1.ifax.com”, and the SMTP server transmits the received Email to the equipment. Then this equipment will send the received Email as a facsimile document to the fax number that is specified in the <account name> part.
