How to change settings in Outlook to delete message from server after downloading


Hi, follow the steps below. Don't change any of your settings since they already work, but when you get to step 7 this is where you check whether or not you want to remove the emails from the sever.

Open Outlook 2003 then:
  1. Click Tools ' E-mail Accounts.
  2. Select Add a new e-mail account and click Next.
  3. Select POP3, then click Next.
  4. Enter the following information:
    • User Information
      • Your Name: Type your name as you'd like it to appear when you send an email message.
      • E-mail Address: Type your Yahoo! Mail Plus email address (for example, jo.bloggs@yahoo.com).
    • Server Information
      • Incoming mail server (POP3): Type pop.mail.yahoo.com
      • Outgoing mail server (SMTP): Type smtp.mail.yahoo.com
    • Login Information
      • User Name: Type your Yahoo! ID (your email address without the "@yahoo.com").
      • Password: Type your Yahoo! password.
    • Check the Remember password checkbox if you don't want Outlook to prompt you for your password each time you check your mail.
    • Do notcheck the Log on using Secure Password Authentication (SPA) checkbox.
  5. Click the More Settings button. The Internet E-mail Settings dialog box appears.
  6. Select the Outgoing Server tab:
    • Check the My outgoing server (SMTP) requires authentication checkbox.
    • Make sure that Use same settings as my incoming mail server is selected.
  7. Select the Advanced tab:
    • Under "Incoming server (POP3)," check the This server requires an encrypted connection (SSL) checkbox. The number in the "Incoming server (POP3)" field usually changes automatically from 110 to 995. If it doesn't, type 995.
    • In the Outgoing server (SMTP) field, type 465. Under it, check the This server requires an encrypted connection (SSL) checkbox.
    • If you want to save your Yahoo! Mail messages on both the Yahoo! Mail server and on your computer, check the Leave a copy of messages on the server checkbox. If you want your messages to be deleted from the Yahoo! server once Outlook has downloaded them onto your computer, leave the box unchecked.
    Note: After your messages are deleted from the server, we cannot retrieve them.
  8. Click OK to close the Internet E-mail Settings dialog box.
  9. Click Next and then Finish.
  10. Close and restart your Microsoft Outlook.

Do you have an email address that you want to setup on an e-mail client like Outlook or in your newly bought mobile device like iPhone or Blackberry? And when you are about to do this you are asked to choose if you want to setup your email account via POP3 or IMAP? and you don't know what to choose? This tip will help know more about this two types of setting that are commonly used for email clients and mobile devices that supports messaging.

First of all let's talk about POP3, this stands for Post Office Protocol version 3. Yes, this is the latest version of this protocol. We won't really get too technical in this tip. I will just give you ideas on how this will work to better understand which one to choose between POP3 and IMAP. Now a days, if someone says "I POP my mails from the server" he/she is saying that he used POP3 to download mails from the server. POP3 was initially created for users who does not have a permanent access to the Internet, like dial-up. POP3 will download all of your mails from the server, delete the messages from the server, and close the connection. All of the message downloaded will all be store in inbox and even if the user is off line, the user can still check the downloaded messages without getting online.

**The server that we are talking about here is what we also call as web mail.

Though POP3 deletes all downloaded mails from the server (web mail). Most e-mail clients will give you an option to leave a copy of the message on the server. This will make sure that even if you "pop" you mails, once you log back in to your web mail the same messages are still in there. To make it short and simple POP3 will only download all of the message and put in to the inbox of your e-mail client or mobile devices.

IMAP or Internet Message Access Protocol. This protocol almost works the same as POP3. The only difference is that it will not download all messages from the server in to your inbox. IMAP is also called the "mirror" for your e-mail client and the server. What you will have on the server (web mail) will be available on the client or mobile device. This idea applies to this example. Let's say you have sorted your e-mails on your web mail, you created folders to categorize the messages that is getting to your inbox. Once you setup IMAP in a e-mail client or mobile device you will see the folders and you will also have an option on your e-mail client and mobile device to subscribe to these folders that you have on the web mail.

This is pretty much having the same format from the server to your e-mail client or mobile device. This will also save you from the agony of sorting your mails since they will show up on your e-mail client or mobile device same as how they are set on the server. Another thing that is not found in POP3 is the way messages will be removed the server. Once the user using IMAP deletes a message, it will not be immediately get deleted from the server unless the user explicitly delete them, this is done by using the purge option.

I hope this enlightened you a bit to choose between the two.

Hi I am using entourage to send/receive email via my mac air. Not sure why there is problem on getting email in but able to send out email when overseas. I have untick SSL and selected port 110. Any ideas?


try to contact your isp and ask for their incomming mail server. because sometimes isp will block the incomming mail server that you are using. They will only allow you to use their incomming mail server.

i used to run into this when i was in school. im pretty sure its something to do with the server settings allowing non-administered computers that are running on the server to send out connections or mail for some reason. so im guessing the solution would be where ever you created the server from

I have a nokia 5800 on 02...i use yahoo for my email...on the connection settings for email it hasusernamepasswordincoming mail serveraccess pointmailbox typeport etc etc..ive deleted the 4digit password...


There are no passwords for yahoo server in configuration (i.e.) predefined in settings.

It must be the password for your E-mail account, Try adding it you should succeed

I do not like Outlook, it is not good, I choose to use IncrediMail, I think it is good, you can try this, reset the details, and it will not appear that problem. You can get it here:

Can not access yahoo mail and messanger in my phone


I hope this helps. This is for a MyTouch running android however I would think it will give you some ideas. This was taken from http://forum.xda-developers.com

1. From the Home screen, tap the Application tab.

My problem is Incredimail...I can't send e-mail . They say for me to go to
yahoo Properties which i can't find.

I have to put in Server Port Numbers
Outgoing mail (SMTP) 465
check..This server requires a _secure commection(SSL)

Incoming mail (pop3): 995
check..This server requires a _secure connection (SSL)
_Use Defaults

Then it says ..From now on you should be able to send and receive mail using your Yahoo account without any problem
