I am not 100% sure, but when you bought the copier how many "Rights" did you buy or recieve when the copier was installed? Most like you only got "Rights" for one user only and you may have to buy another legal or registered copy of the scanning software. Have you tried to have your "IT person" try to go on your network to give you the "Rights" to use the scanner?
Check your default program for .tif files by going into my computer and finding a tif file. Move the mouse over to the file and press the right mouse button and select properties. Check the opens with icon to see which program it is using. If it isn't set for Microsoft Word, press the change with button and select Microsoft Word. Press the Ok button.
