The DS4000 has a lock option available from the menu. press the menu and scroll untill you find lock. If you did not prposely lock the file, most likely the files on the memory card are corrupt. You will need to reformat the memory. The format option is in the menu as well.
With the handheld off:
1 Power the unit on. It will greet the user.
2 Press the menu key.
3 Press rew to get to sub menu
4 Press rew to get to LOCK and press menu
5 Switch the cursor to OFF and press menu
6 Press Menu at all the exit prompts to return to the main screen
The lock icon means you have switched the "lock" on ...this prevents accidental erasure of files.... if you need the operators manual go to www.olympusamerica.com ...manuals are under "SUPPORT".
This is a classic: the 4-position-slide component (which includes the NEW button) is the weakness of the DS-4000. You need to get this replaced. If you are UK based, contact BES in Luton who will charge you circa GBP70 for the replacement.
The foot pedal needs to be plugged in before the software is installed. Just uninstall the software (your files will be fine) and reinstall with foot pedal attached.
I had several cases lke this with clients. One of the dictations is corrupted. It's the "one" here that matters. When you connect the DS-4000 to a PC, it appears in your "My Computer" as a Removable Drive. Browse this drive, and you will find the dictations in one of the folders (A, B, C etc...) or they might be scattered between folder depending on how your user records.
Try to copy dictation manually from that drive to the matching folders on the PC (by default My Documents-->DSSPlayer-->Messages-->FolderA, FolderB..., although you might have changed that).
At some stage one of the dictation files will refuse to copy/paste: that's the corrupted one; however should should be able to save the others. Once you have salvaged all but one dictation, you can do a format of the card. In fact, I suggest you chage the card, as corruption is usually a sign of worst things to come...
Using this procedure, at least only one dictation will need re-dictated.
The voice recorder is in read only status - you will need to format the device to remove the lock (read only). Go to menu - to submenu and then run the format option. make sure all files have been downloaded as once device is formatted all files will be permanently deleted
