I am getting an error telling me to replace all 4 print heads. I thought it was odd that all 4 would go out at the same time. Should i replace all 4 print heads or is the problem something else? Maybe

This is general problem in hp plotters..
understand the concept: If U R replaced any one of print head in good working printer, printer detects new print head & it will try to align it with others. Printer will print align page to read, while reading if its found any other print heads are poor quality or bad condition, it will say to replace them also.. Some times it may 2,3 or all.
If UR printer is trying to printing align page and reading it, definitely it will detects & displays the faulty /poor quality print heads. U have to replace it..
If UR feels its expensive, try to clean the print heads manually & try for UR luck...

Manteinance program run automatically every time i try to print something

Its not maintenance programme, its print head alignment page.Once print heads are aligned successfully, you wont get this page.
Reason: One or more print head nozzles are not firing/blocked/dried up the align page will not prints properly to read result printer unable to align P.heads. You can observe the print quality, based on that replace/clean the particular print head(s) and check. Verify that each line it will read & marked as a "right tick". If its marks like "X" ensure that align page not successful.
If you are confused better replace all(four) print heads, to get out of this issue peacefully. But ensure that before replacing the print heads, all cartridge ink level should be more then 50%.

Every time I print a document the printer spits out a print record of settings and time and pages printed etc . can't find a way to turn this off !

That is a setting which you can control by looking into properties and the other settings, at print time. Also, when the printer is idle, you can re-set these things to not provide a status report at the end of a print session.
RTFM is the word of the day - Read The Freaking Manual, and learn how to set the printer to do what you want it to do. Otherwise, it will do whatever it wants to get done as the output statistics.

Printer not printing out properly, can not read it.

Go to the maintenance menu and do a "nozzle cleaning or deep cleaning". Do a print test until the gaps dissappears. This a common problem of inkjet printers especially when left out of use for quite a time.

E-mails print too small to read. New printer does same

Try placing you cursor on the text that you would like to print, hold the control key down then tap the PLUS key on the numerical pad a few times.
This should make your fonts larger so that they may print normally.

Font size problem when printing documents

Font sizes are a program thing nothing to do with the printer
Examine your E-mail client set up in the read section[Different E-mail programs different setting ] probably under a heading
Tools/Options and look at how the font sizes are organized.
