I have a new HP 2140 fax machine. I need to be able to send the same fax to 75 different people daily. How can I group the numbers so once they are entered into speed dial, I can hit one button and send them all. I know I can broadcast but I still have to physically dial the fax numbers. Is this machine capable of doing this. Again, I do not want to have to stand there and enter 75 fax numbers every day.

According to the manual, up to 20 fax numbers can be entered in the broadcast mode.

4 Advanced faxing
In this chapter, you will learn how to use the advanced fax features of your machine.
Broadcasting
With Broadcasting you can have your HP Fax send your fax up to 20 fax numbers at
once. The documents are automatically erased from memory when Broadcasting is
finished.
1. Turn the document face down and feed it into the machine.
2. Press Menu repeated until ADVANCED FAX displays and press OK.
3. Select Set Broadcasting by pressing ���� and press OK.
4. Enter the fax number.
• You can enter 20 fax numbers into one job.
5. Press OK when the correct number appears in the display.
• If you have more destinations, select Y by using ���� and press OK when
asked Another? Y/N and repeat steps from 4.
• If you have finished entering all the numbers, answer N and press OK.
The document will be scanned into memory before transmission.

I think a better way to broadcast is to use the power of your computer connected to a computer scanning the document in, and then using your fax number list that is on your computer's memory. Your computer's memory eclipses the memory of any fax machine that I know of.

In fact, if you used your computer to broadcast, you could potentially send the same fax to hundreds if not thousands of destination.

In order to broadcast up to 75 fax numbers everyday, you need a different fax machine, perhaps an All In One printer that scans, prints, and connects to your computer with a usb cable. HP Does sell this kind of device.

I read the instructions for your new HP fax machine, and the one you bought doesn't have the interface feature to a computer.

    This is a stand alone machine at a small business with no internet service. I was hoping to enter my numbers into speed dial and then "group" them somehow for one touch dialing. I am currently using the broadcasting method but only entering 20 numbers at a time. Do you know of a fax machine that will let me group numbers, hit one button and send?

    You do not need Internet service to have a computer hooked up to a scanner or All-In-One printer.



    All you need is the computer, say a Windows 7 computer, an All-In-One printer, which probably won't cost much more than a stand alone fax machine.



    If you're on a budget, and don't want a computer in the office, then I see what you are saying.

    Maybe a higher priced HP fax machine, or another brand will work the way you want to work.

    The above link is one example of a Brother Fax machine that has broadcast capabilities for over 100 numbers.



    I'm sure you can find a broadcast fax machine for a reasonable price on the Internet.

    Yes, the one you got has a 20 number limit. But, others can send more. In the Brother's case it can go over 100.



    The more you pay the better machine you get, in general, but I think you should be able get a machine that does what you want for under $100.



    I think the brother was in the neighborhood of $50 refurbished.



    I wish you luck in finding a good fax machine for your needs at a reasonable price.

Hi Error 344,

Is telling you the remote end has hung up the call which means it may not be a fax number (you called a voice line number for example, you can confirm if it as fax by just calling the number on your phone if you hear the whistles of a fax then that's not the cause).

I'm not familiar with the HP model but if it is "Super Group 3" (you can tell this if the transmission speed is capable of above 14.4kbps) and you're trying to call an older fax the remote machine may not be able to recognise the "Calling tone" your machine is sending and so it hangs up. You can try to remedy this by temporarily disabling Error Correction Mode (ECM) in your machines fax set up menu this will disable the Super Group 3 capabilities of the fax and maximum transmission speed will be reduced to the older Group 3 machine. HP website recommends the following:
Error Code: 344, 345, 346, 347, 348, 349 ECM, 350 ECM, 351 ECM, 352 ECM, 353 ECM, 354, 355 Definitions
  • The remote machine failed to respond to a fax command from the local machine because the connection was interrupted. These errors can occur if the phone lines in the area to be faxed are old or there is noise (static on the phone line). Other reasons can include power outages and other power-related problems.
  • The call-waiting service can cause this error. The click, heard for an incoming call, is actually a momentary disconnect of the line.
  • The remote user pressed the Stop key while the reception was in progress.
  • Under rare conditions, incompatibility between the two machines might cause the remote machine to abandon the call.

Solutions
  • Retryt the fax reception at a different time when telephone line conditions have improved. Call the telephone provider if line conditions fail to improve.
  • Disable ECM. Errors might still occur, and might result in a degraded image quality on the received page. However, the ability to send the entire document will be improved.
  • Try sending at a lower transmission speed.

Error Code: 386, 387, 388, 389, 390, 391, 392, 393, 394, 395 Definition
There is too much noise on the line for a valid connection between two fax machines to complete. The noise problem might go away over time.
Solution
Retry the fax reception at a different time when telephone line conditions have improved. Call the telephone provider if line conditions fail to improve.

Hp fax 2140 sends but does not receive faxes


check if the LINE is connected in the RIGHT JACK (LINE), not in the TEL jack. Check the panel or display if it is in (FAX OR AUTO) if the mod is in TEL it won't receive.

How can I set up my answering machine with my hp 2140 fax


Use the fax setup wizard from the HP toolbox , when it asks if you have an answering machine connected to the fax line say yes. Or setup a distinctive ring from you phone company and set the fax machine to answer double rings only. Use fax setup wizard to do this as well.

You can't send a fax to more than one number at a time since each fax call needs to be placed separately. But the machine allows you to automate the process by storing the numbers in speed dial as a group, and then sequentially sending the same fax to each of those numbers for you. Full details are in chapter 6 of the manual (available here if you need a copy).

Was the fax plugged into another telephone line? Maybe a power surge?

My solution would be to reconfigure the fax from scratch to learn the ring pattern.

From the Manual:

Step 1-Teach the HP Fax the ring pattern

The HP Fax will learn the ring pattern when you call it from another telephone or fax
machine.

1. Be ready to call the fax machine.
2. Press Menu repeatedly until BASIC FAX displays and press OK.
3. Use LEFT ARROW - RIGHT ARROW BUTTONS to scroll through the options until DRPD Mode displays and press OK.
Call this fax from another fax machine... Waiting Ring...
will display.
4. Call the HP Fax.

DRPD OK will display when the pattern has been learned and the HP Fax will return
to Ready mode.

Step 2-Set up distinctive ring (DRPD) answer mode

Once you have activated distinctive ring, it becomes one of the answering modes you
can select by pressing the Mode/Contrast button.

Press Mode/Contrast repeatedly until DRPD Mode appears in the display.

• In Ready mode, DRPD appears in the right hand corner of the display.
• Now, the HP Fax will manage calls and faxes as if it were set to AUTO mode
(AUTO mode on page 28)


TIP: Distinctive ring must be set up again if you reassign your fax number
or connect the machine to another telephone line. Once set up again (that
is, the fax machine has learned the ring pattern and the answering mode is
correctly set), you should test the fax machine by calling the fax number
and another number on the same line. The machine should respond
appropriately to a call placed to the fax number with fax tones, and to a
normal telephone call with the expected ring pattern.

I don't understand the one touch dialing on the HP 2140


Hi Suzeo. Many HP fax machines have the function you are requesting. It is called the broadcast fax feature. Look in your owner manual for this feature. If I knew which model you have I would have researched it for you. IF by chance, your machine does not have this feature, it would be money well spent to replace your current machine with one that does. Depending on how many pages the daily fax is, I am estimating that you are spending an hour or more each day on this task. J.

I need to know how to send a Broadcast fax to multiple numbers


This is right from the manual:
You can use the Multiple Send feature, which allows you to send a fax to
multiple locations. Originals are automatically stored in memory and sent
to a remote station. After transmission, the originals are automatically
erased from memory.
1 Press Fax.
2 Load originals face up into the ADF, or place a single original face
down on the scanner glass.
For details about loading an original, see page 5.1.
3 Adjust the document resolution and darkness to suit your fax needs.
See page 9.1.
4 Press Menu until Fax Feature appears on the bottom line of the
display and press OK.
5 Press the Scroll buttons until Multi Send appears and press OK.
6 Enter the number of the first receiving fax machine and press OK.
You can use speed buttons, speed dial numbers, or group dial
numbers. For details, see page 10.2.
7 Enter the second fax number and press OK.
The display asks you to enter another fax number to send the
document.
8 To enter more fax numbers, press OK when Yes appears and
repeat steps 6 and 7. You can add up to 209 destinations.
Note
You cannot use group dial numbers for another fax number.
9 When you have finished entering fax numbers, select No at the
Another No.? prompt and press OK or Start.
The original is scanned into memory before transmission. The
display shows memory capacity and the number of pages being
stored in memory.
10 If an original is placed on the scanner glass, select Yes to add
another pages. Load another original and press OK.
When you have finished, select No at the Another Page? prompt.
The machine begins sending the fax to the numbers you entered in
the order in which you entered them.
