Company directory

No one at my company remembers how to program the main directory of the phones. when an extention is dialed to go into the voicemail the origianl message gives an old name of the extention. another example is that I have my voicemail correct as to be me on it, but when someone calls into the main line and wants to go to my box it has another name. how do we change the original phone name directlry?
