We seem to have problems with out sound file, we dictate as normal and send the sound files off to our typist for typing but when the letters are returned there are substantial paragraphs In which the typist has been unable to type as the sound file has skipped…this is happening with nearly every letter that We receive back from our typist. Is this a common error? Is this something in which the way the machine is set up, which can be changed?

Hello You need to Use Philips SpeechExec software for automatic download, conversion and routing of files recorded with a Pocket Memo dictation recorder. Configure the download process from the Pocket Memo How and which files are downloaded after a Pocket Memo is connected can be configured in the settings menu or the Configuration Wizard. 1 Connect the Digital Pocket Memo to the PC using the USB cable. 2 Click Settings > General Settings on the menu bar, select DPM/DT Configuration > DPM Settings from the list on the left side. 3 Click the Start... button. The DPM configuration dialog is displayed in a new window. 4 Select Download in the left pane. 5 Select which files will be downloaded (download file type): • All files • EOL (recordings marked as finished/endof- letter) • File selection (SpeechExec prompts the selection of specific files to be downloaded) • File with keyword 1 (specify a keyword) 6 The download settings also allow the user to specify if files will be deleted on the Pocket Memo after they are downloaded. 7 Click OK to save the settings and confirm the transfer of the new settings to the Pocket Memo.
If you are already using your dictation machine then you don't need to install its software as its already installed. Now you only require Nero for burning files to CDs. You also require a CD writer installed on your pc. You shall know where your files are saved when you record through dictation machine. If you can't find the recorded files kindly comment back.
First things first: DO NOT take any more dictations with the recorder that you want to recover files from in case you may quite possibly ruin your chances of voice memo file recovery.
Then connect your recorder to a PC with a recovery program installed. Photo Recovery Software (also recover Voice memos, audio and video files) is right what you need to use if you are running Windows. If you are Mac OS X users, turn to Data Recovery for Mac.
But you should remember - the more you use your recorder, the less likely you may be able to recover the deleted files back! So STOP using the device ASAP. Hope my answer is helpful to you. Best regards!
on your computer, you will need some sort of media recovery software. also go to options under the tools menu and uncheck delete after transfer to turn off deletion. this is usually best since you can delete the files through the recorder by the erase button
Best option is to get the person using the recorder which creates the .ds2 files, which is likely to be an Olympus DS-5000, to set the recorder to record audio in "classic mode" which will produce .dss files. Here is a YouTube video on how to set the DS-5000 to record in classic mode.

Check all folders on the recorder. Sometimes dictation inadvertently goes into another folder. Also; if the recorder is disconnected from the computer too soon after the expected amt of time it takes to upload to computer, the files may become lost (in space?) This has happened to my physicians in the past. Must leave the recorder connected to the uploading doc until you are certain files have been uploaded. Best to bring up the Olympus download folder to be certain.
The DS-2 has a format option in the menu under submenu. After you choose start you will see a progress bar and it should return to full record time. Use on a MAC seems to cause the reduced record time more often than on a PC.
