To Backup Outlook Messages to a .pst File
1. On the “File” pull-down menu, click “Import and Export”.
2. Click ”Export to a file”, and then click ”Next”.
3. In the list, click "Personal Folder File (.pst)", and then click ”Next”.
4. Click the folder that contains the messages you want to back up. If the folder contains a subfolder that you want to include, select the "Include Subfolders" check box, and then click ”Next”.
5. Under "Save exported file as", click ”Browse”, and then specify a name and location for your backup file.
6. When ask, click one of the following:
- Replace duplicates with items exported. Existing data will be overwritten with the information in the file being exported.
- Allow duplicate items to be created. Existing data will not be overwritten, and duplicate information will be added to the backup file. (Recommended)
- Do not export duplicate items. Existing data will be kept, and the duplicate information in the folder will not be copied to the backup file.
7. Click ”Finish”.

You can restore your emails from the backup (.pst file)
1. On the File pull-down menu, point to Open, and then click Outlook Data File.
2. Click the .pst file you want to open, and then click OK.

The name of the folder associated with the data file appears in the Folder List (Folder List: Displays the folders available in your mailbox. To view subfolders, click the plus sign (+) next to the folder. If the Folder List is not visible, on the Go pull-down menu, click Folder List. By default, the folder will be called Personal Folders.

Let me know if you need further assistance.

What I do transfer of email files?

When Outlook saves items to your computer, it uses a type of data file called an Outlook Personal Folders file (.pst) (Personal Folders file (.pst): Data file that stores your messages and other items on your computer. You can assign a .pst file to be the default delivery location for e-mail messages. You can use a .pst to organize and back up items for safekeeping.). If you are using a Microsoft Exchange Server account, your items are usually delivered to and saved on the mail server. To allow you to work with your messages even when you cannot connect to the mail server, Outlook offers Offline Folders, which are saved in another type of data file called an Offline Folder file (.ost) (Offline Folder file: The file on your hard disk that contains offline folders. The offline folder file has an .ost extension. You can create it automatically when you set up Outlook or when you first make a folder available offline.) on your computer.

The primary distinctions between the two types of Outlook data files are:

The Outlook .ost files are used only when you have an Exchange Server account and choose to work offline or use Cached Exchange Mode.
The Outlook .pst files are used for POP3 (POP3: A common protocol that is used to retrieve e-mail messages from an Internet e-mail server.), IMAP (IMAP (Internet Message Access Protocol): Unlike Internet e-mail protocols such as POP3, IMAP creates folders on a server to store/organize messages for retrieval by other computers. You can read message headers only and select which messages to download.), and HTTP accounts. When you want to create archives or back up your Outlook folders and items on your computer, including Exchange Server accounts, you must create and use additional .pst files.

Recheck the exchange/mail server properites and confirm they are correct. Also, check and see if it is set to Cached Exchange mode.

In Office 2007, select Tools > Accounts Settings. Then make sure the correct email account is selected and select Change while the Email tab is selected.

Outlook 2003 I want name at end of email

You can do that when you set up your signature and it is in HTML. To set up HTML format on all emails, go to Tools -> options -> Mail format and on "Send this message format" make sure that HTML is selected.

For the signature, on the same Mail format tab, select the signature and select the file or make your signature on the same window. In making your signature without using Outlook, you can use MS WORD and save it as a web page/web page filtered and have the file selected when choosing your signature in Outlook.

My outlook downloads all the mails from the inbox

Yahoo uses POP3 as the e-mail protocol, which gives you ther option of retrieving messages but not deleting them. It sounds as though the "Leave a copy of messages on the server" option in the Advanced settings for the account is checked so that messages are left on the Yahoo e-mail server. To check on that and change it:
  1. In Outlook 2003, select Tools->E-Mail Accounts;
  2. When the E-Mail Accounts wizard pops up, under the E-Mail areaq, make sure that "View or Change existing e-mail accounts" is selected, then press Next;
  3. Select your Yahoo account in the dialog that pops up and click on "Change";
  4. The Internet E-Mail Settings dialog for the Yahoo account pops up. Click on "More Settings", then in the dialog that pops up, click on the Advanced tab;
  5. At the botton of that tab, there is an area marked as "Delivery". Make sure that "Leave a copy of messages on the server" is unchecked, then click OK;
  6. Click the Next button on the dialong, then click "Finish".
At this point, if you check e-mail using Outlook, the messages should be deleted from the server. If not, then we can go from there.

I am unable to get into my microsoft outlook express email. It says my password is not correct.

Go to OE/ Tools/ Options/ Send tab/ News sending format section: check
plaintext, not html

If its the password for the exchange server authentication, it has to be the same as your webmail account online!

Go to tool> email accounts > reenter the password under the server tab and the settings button against "my server requires authentication" on the same page.

Make sure the passwords you enter here is the same that you used to login to your webmail account with the same e-mail id!

save the settings and restarte outlook express..

Regards,
Ronald.
