Question about Microsoft Office Outlook 2007: Windows

Upon opening my Outlook "Personal Folders" I receive an error message indicating that I improperly closed the files at last session. What is the proper procedure for closing the folders? Thanks.Bill C.

This kind of message usually occurs when the computer crashes, or Outlook otherwise closes without completing the housekeeping it normally does when you close the program. If you are working on a laptop and it didn't recover from hibernating properly that might cause this kind of problem,

If you click File, then Exit to close Outlook in the future that should minimize or eliminate the problem.

Outlook 2010 archiving to wrong user


It looks like the folders were closed after archiving.

Try opening them again by using File, Open Data File and then picking the appropriate data file.

1. In Outlook 2007, click the Tools menu and select Options.
2. In the Options dialog box, click the Mail Setup tab and then click the Data Files button.
3. In the Account settings window, you will see all of your personal Outlook data files listed. Here, you want to note the full path to each data file. On my system, my Outlook personal and archive folders are stored in the C:\Documents and Settings\Your Username\Local Settings\Application Data\Microsoft\Outlook folder.
4. Once you have this information, close the Account Settings dialog box and then close the Outlook Options window.

Now that you have the location of your Outlook data files, you need to check and repair them using the Microsoft Office Outlook 2007 Inbox Repair Tool-SCANPST.exe. By default, you should see SCANPST.exe in the Microsoft Office installation folder's "Office 12" subfolder. On my system, SCANPST.exe is located in C:\Program Files\Microsoft Office\Office 12. For additional information on SCANPST.exe, take a look at the Microsoft Knowledge Base article, "How to use the Inbox Repair Tools to recover e-mail messages in Outlook 2002 and Outlook 2003."

To check and repair your Outlook data files, follow these steps:

1. First, close Outlook 2007.
2. Use Windows Explorer to browse to SCANPST.exe, then double-click it.
3. When the Outlook 2007 Inbox Repair Tool opens, click Browse and navigate to the Outlook data file location that you found earlier. Note that you will need to check each file listed. On my system, I start with the file archive.pst. To check that file, you would select it in the "Select File to Scan" dialog box and then click Open.
4. Now click Start to begin the repair process.

Cannot open Outlook 2007 using my pc which uses windows 2007. Advice message opens and suggests using Inbox repair tool. scanpst.exe. Can you help me find this repair tool?


To run the Inbox Repair Tool, follow these steps:
  1. Click Start, and then point to Find or to Search, depending upon your operating system.
  2. In the Search for files or folders named box, type scanpst.exe
  3. Double click the Scanpst.exe file to open the Inbox Repair Tool.
  4. Type the path and the file name of the personal folders (.pst) file or click Browse to locate the file by using the Windows file system.
  5. Click Start.

Need to save and transfer all e-mails to a new computer


First of all, I assume that all the email account settings have already been setup within Outlook on the new computer (as you have been using Outlook on the new computer successfully to send and receive email).

If you want to transfer your files you will need to copy the Outlook PST file from your old computer to your new computer.
To find the location of the PST file, open Outlook on the old computer and in the left-hand pane you should see a listing of all your email folders, with the root heading being “Personal Folders”. This is your Personal Folders PST file which contains all your email.
  1. Right-click on the “Personal Folders” heading and select “Properties”.
  2. In the Properties window that appears for Personal Folders, click the “General” tab and the “Advanced” button.
  3. In the next window that appears there should be a field called “Filename”. This denotes the location of the PST file which contains all the email and folders within your Personal Folders PST file. Write down the location of the PST file and then click “Cancel” twice to close the two open windows. (It should be someting like C:\Documents and Settings\<username>\Local Settings\Application Data\Microsoft\Outlook\outlook.pst)
  4. Open Windows Explorer or My Computer and navigate to the location of your PST file. Be aware, you may need to enable the display of hidden files and folders to see the path to the PST file, as it might be a hidden path. To do this, go to the “Tools” menu > “Folder Options”. In the window that appears, click the “View” tab and enable “Show hidden files and folders” then click OK to save and close.
  5. Once you have located the PST file you can confirm that the file is correct by looking at the size of the PST file – it should be quite large - mine is about 1.2 GB!
  6. Copy this file to a USB hard drive or USB stick if you have one that can hold the size.
  7. Once the file has been copied to the USB hard drive, disconnect the USB hard drive from your old computer and then connect it to the new computer.
  8. Copy the PST file to a memorable location, such as the desktop (this is only temporary, and this PST file will be removed once the email transfer has been completed).
  9. Now it is time to import the contents of the old PST file into your installation of Outlook on the new computer by using the in-built Outlook import function.
  10. Open Outlook on the new computer then go to the “File” menu > “Import and Export”. The Import and Export Wizard window will appear.
  11. Select “Import from another program or file” and click “Next”.
  12. On the next screen asking you to choose the file type, select “Personal Folder File (.pst)” and click “Next”.
  13. The next screen will ask you to select the file to import.
  14. Click the “Browse” button and navigate to the location to which you copied the PST file from your old computer (in our example before this was the Desktop).
  15. Under “Options” select one of the options depending on how you wish the import to behave. I suggest you leave this at the default setting of “Replace duplicates with items imported” as you should not have any duplicates.
  16. Click “Next”. This last screen before the import allows you to specify exactly what should be imported. If you wish to import everything from your old PST file (i.e. mail, calendar, contacts, etc.) then underneath “Select the folder to import from” choose the root “Personal Folders” node as this will import everything underneath “Personal Folders” in your old PST file. As you can see, this includes emails and also the calendar, contacts, and other folders.
  17. Make sure “Include subfolders” is ticked and enable “Import items into the same folder in” then select “Personal Folders”. This will import all the data under your old Personal Folders into your new Personal Folders.
  18. Click “Finish” to commence the import. It could take a while considering the number of emails which need to transfer across.
Once the process has completed check the results. If you are satisfied then you can safely delete the copied PST file from your old computer to the desktop, as all the data from that file has been imported into your PST file for your installation of Outlook on the new computer. I would advise to burn it on a CD/DVD (depending on the size of the file) or store it somewhere else - it is always a good idea to keep a backup.

Personal Data File did not close properly


Hope this solves it for you! Here's the official word from Microsoft:
If you receive one or more of these error messages, you may experience performance issues until Outlook finishes the reconciliation process for the .ost file or for the .pst file. The following gear icon is displayed in the status bar while Outlook checks the data file in the background: Collapse this imageExpand this imageol2007gearicon.jpg When this icon disappears, the .pst file or the .ost file is reconciled. If you exit Outlook while the gear icon is present, reconciliation must restart the next time that you run Outlook. We recommend that you leave Outlook running until the gear icon disappears before you exit Outlook.

An incorrectly shut down .ost file or .pst file may occur for one of the following reasons:
  • Antivirus scanning of the file
  • Forced Microsoft Windows shutdown before the Outlook.exe process shuts down completely
  • Outlook add-ins
If you see this issue frequently, and you have to exit Outlook shortly before you shut down your computer, it may be better to shut down Windows while Outlook is still running. We recommend that you do this instead of exiting Outlook and then shutting down Windows shortly after that.

Outlook Express


Empty the Outbox in Outlook Express, move any messages you want to Send later to the Drafts folder.

Close Outlook Express.
Do a Search for .dbx files.
Search:
  • Start > Search > For Files or Folders > All files and folders,
    In the field for: all or part of the file name
    Key in:
    .dbx
    Below that, click on More advanced options
    in the field: Type of File, select (All Files and Folders)
    place a checkmark in:
  • Search system folders
  • Search hidden files and folders
  • Search subfolders
    click Search

Locate the Outbox.dbx file and Sent Items.dbx file and delete it.
Restart Outlook Express, a new Outbox.dbx file will be created.
Send yourself a Test message to see if it leaves the Outbox.


You may need to enable Show Hidden Files and Folders to see the .dbx files.
Windows XP:
  • Open My Computer,
    Tools > Folder Options > View tab,
    under Hidden Files and Folders, verify Show Hidden Files and Folders is selected.
    Remove the check mark for Hide Extensions for known file types.
    Apply, OK to save and close.

Outlook express


dear fando,

This is usually down to a corrupt or over-full email inbox. Outlook Express is not very good at holding large amounts of emails especially if they have large attachments. I had a user this morning with a 2.5 GB inbox.

Backup/rename Inbox (C:\Documents and Settings\(User)\Local Settings\Application Data\Identities\{GIU}\Microsoft\Outlook Express\inbox.dbx -> inboxbak.dbx).
Close Outlook Express.
Open Outlook Express.
Outlook Express will have created a whole new Inbox.
Your email should now work.
