Was the fax plugged into another telephone line? Maybe a power surge?
My solution would be to reconfigure the fax from scratch to learn the ring pattern.
From the Manual:
Step 1-Teach the HP Fax the ring pattern
The HP Fax will learn the ring pattern when you call it from another telephone or fax machine.
1. Be ready to call the fax machine. 2. Press Menu repeatedly until BASIC FAX displays and press OK. 3. Use LEFT ARROW - RIGHT ARROW BUTTONS to scroll through the options until DRPD Mode displays and press OK. Call this fax from another fax machine... Waiting Ring... will display. 4. Call the HP Fax.
DRPD OK will display when the pattern has been learned and the HP Fax will return to Ready mode.
Step 2-Set up distinctive ring (DRPD) answer mode
Once you have activated distinctive ring, it becomes one of the answering modes you can select by pressing the Mode/Contrast button.
Press Mode/Contrast repeatedly until DRPD Mode appears in the display.
• In Ready mode, DRPD appears in the right hand corner of the display. • Now, the HP Fax will manage calls and faxes as if it were set to AUTO mode (AUTO mode on page 28)
TIP: Distinctive ring must be set up again if you reassign your fax number or connect the machine to another telephone line. Once set up again (that is, the fax machine has learned the ring pattern and the answering mode is correctly set), you should test the fax machine by calling the fax number and another number on the same line. The machine should respond appropriately to a call placed to the fax number with fax tones, and to a normal telephone call with the expected ring pattern.
To stop it from interfering with the telephone conversation:
Fax interrupts telephone conversations in answering machine mode (AnsMode) Solution:
Setting the Receive Mode - ICMF 4150
Setting the Receive Mode
Press <Additional Functions>.
Use <> or <> to select [5 FAX SETTINGS], then press <OK>.
Use <> or <> to select [3 RX SETTINGS], then press <OK>.
Use <> or <> to select [3 RX MODE], then press <OK>.
Use <> or <> to select the desired receive mode, then press <OK>.
For [AnsMode], make sure an answering machine is connected to the machine.
If [AnsMode], [FAX/TEL], or [DRPD] is selected, you can select some settings as below:
[AnsMode CHK TIME] (select time from 10 to 30 seconds for the answering
machine to start playing outgoing message after receiving a call) --- [FAX DETECT TIME] (select the duration from 10 to 70 seconds for the fax to detect)
[FAX/TEL] --- [RING START TIME] (select the time from 0 to 30 seconds for the phone to start ringing after receiving a call) --- [F/T RING TIME] (select the duration of ringing from 10 to 45 seconds) --- [F/T SWITCH ACTION] (select the action the machine will take after the ringing ends, Receive or Disconnect)
Press the Reception Mode button to toggle between Fax, Answering Machine and Tel (manual receive). If you need to change the number of rings before the Fax is picked up, press Function 4 then # # # Then press a number between 1 and 5 followed by Stop.
I hope this helps.
(BTW there is a little arrow that points to the Reception Mode on the LCD screen -> Tel on the left, Fax on the right (both of these across the top right), and A.M. on right side.)
Is the phone line working? Do you have any devices connected to the phone line that pick up before the fax machine? Make sure the machine has paper and is set to FAX or AUTO. Is there a Memory Full error? Clear the memory (Setup > Memory Clear then press Start/Enter. Use the left and right arrows to select the items to remove. Press Start/Enter twice (second time to confirm the choice). Repeat until all memory is cleared that you wish to clear. Then press Stop to exit.)
If you are using the ANS/FAX mode and have an answering machine connected to the extension port, disconnect the anwering machine and switch to FAX or AUTO. Check if the machine receives faxes. Sometimes the extra device causes interference. Call the fax machine from a different phone number and see if you hear the fax tones.
Check that the Junk Fax barrier is off, if the incoming call is from a machine that is not listed in your speed dial database. If you have a distinctive ring, make sure that the Fax machine has learned the ring by pressing Setup go to DRPD. Choose Set and call the fax machine from another phone. The LCD will say Waiting Ring until it gets that call and then once the ring is learned will say END DRPD Setup
I hope these ideas help.
Cindy Wells (If you have a phone company voice mail service, the faxes may end up stuck in that box. It depends on how many rings the fax is set to wait before picking up versus when the voice mail opens to take the call.)
It is probably set to manual receive, meaning you have to pick up the receiver, then hit start to receive the fax. I'm sorry I don't know specifically where to find this setting on your model but if you can find it in your menus, you should be able to switch to auto receive to eliminate this.
I had been confused for the past ten months on this issue and just figured it out! Get a distinctive ring from you telephone service. If you have a answering machine, set it to answer on the 4th ring. On the fax, press menue til you get to the BASIC FAX, press OK, scroll the arrow button til you get to the DISTINCTIVE RING, press OK. Call your special fax number assigned from the telephone co, the machine should read DRPD OK, then on the face of the hp640 on the left i believe is a button called Rcv. Mode/Contrast, press that til you get to DRPD Mode, press OK. It should work great!! Hope this helps.
Press Function then Data Registration press set use the Down arrow to RX setting press set scroll down to RX mode press set Scroll down to DRPD press set pess set again at Drpd Select fax and Choose your ring type.
YOUR PROBLEM IS NOT VERY CLEAR,PLEASE TELL WHETHER---
A. DO YOU GET DIAL TONE ON THE MACHINE?
B.WHEN THE MACHINE GETS INCOMING RING -IT IS SET TO ANSWER ON HOW MANY RINGS ?
C. SWITCH OFF THE DRPD MODE.
D,CLEAR THE MEMORY OF THE MACHINE TO FACTORY DEAFULT BY--SWITCHING ON THE MACHINE WHILE HOLDING THE STOP BUTTON AND THEN COOSING YOUR COUNTRY WHEN PROMPTED.
SHOULD TAKE CARE OF THE PROBLEM...
