Question about HP Scanjet G4050 Flatbed Scanner

When I try to scan a document into e-mail I get,"An error occurred communiucating with the scanning dsevice. Please insure the scanner is connected properly and try again. Yet If I simply scan a document to copy the scanner works fine. How do I correct. I also note I cannot em-mail from word-function is greyed out.

    Although I accept your statements the fixes are not acceptable. Fir the first year I used this scanner it worked flawlessly. What has changed?? Either of your proposed solutions will work but they are too cumbersom to use. There has to be another slolution available.

    Before closing down for the day and going to bed I set up a deep scan via myViper anti spyware-anti spam program. When I booted up this morning I found the scan had revealed a virus in my scanner. After deleting that from my system everything returned to normal. I appreciate the advice but thankful I didn.t have to run through all that effort.

    As a fist time user of your services I am impressed with the speed of reaction to my reuqest for help.

    I ran a deep virus scan last night. Found a virus in scanner. Once deleted that and rebooted everything returned to normal.
    As a first time user I am very impressed wuith the speed of reaction by you in addressing my problem.

Uninstall scanner driver and install again.
If you have vista then you have to install patch from your scanner company site.
Make sure usb cable works fine.
Uninstall driver then reinstall fix this issue of communication error.

What is happening is that there is no connection between the scanner software and the email client (program you are using to send email with) so the email cannot communicate with the scanner to get the document to send it and probably your scanner software does not have an email option configured properly to tell the email to send it. An easy workaround to this is to simply save the doc normaly to a folder or desktop and then attach it to email as a file or embed it in the email body - copy and paste or insert image. To fix this go thru your scanner software or scanner program options to see if there is a setting for email configuration. It would be helpful to know which scanner software you are using and which email client.

To send mail from word - generally word uses Microsoft Outlook by default as a send mail program and puts a send to option on the top left hand corner "file" menu. If Microsoft outlook is not installed or set up to send mail then the option will be grayed out because it has no way to send, a missing component is not installed, so it frays out that option. Usually this happens when a full office install is not done or a trial copy of office with minimal components is installed. You can also try this : Select file menu - then select new and it should say blank doc, web page or email doc. Select email doc and then compose and send.

    Try scanning from the scanners
    and cameras wizard in control panel, if you are able to scan then there
    is no issue with the scanner or with the connectivity between your
    computer,there probably could be an issue with your installed HP Software that
    is causing the problem, follow the below solutions to resolve the issue

    To fix a software issue, you need to perform a clean installation of the HP software, any older
    versions first and then any higher versions or patches.Make sure your back up
    your data to a different location before
    uninstalling by copying any scanned images or items to a different folder.

    STEP I:- Disconnect the scanner from the computer and in control panel system, hardware devices uninstall your scanner if it is listed under imaging.

    STEP II:- Completely uninstall the software from Add/Remove Programs

    1. Click Start==>Control Panel.
    2. Double-click Add/Remove Programs.
    3. Uninstall HP photo and Imaging software
    STEP III:- Delete the Digital Imaging folder from C:\Programs Files\HP or Hewlett-Packard

    need to go to C:\Programs Files\HP or Hewlett-Packard. Then check for
    the folder with name "Digital Imaging". Once you find this folder,
    delete it.

    NOTE:- If you experience any issues with deleting
    "Digital Imaging" folder, the you can start computer in safe mode and
    can delete it. Here are the steps to start computer in safe mode:

    (a). Restart the computer.
    (b). While the computer restarts, press and hold down the F8 key until the Windows XP Startup menu appears.
    (c). Choose Safe mode from the Startup menu and press Enter.

    STEP IV:
    Restart the Computer and reinstall the scanner software from the original setup disc that came with the scanner and without connecting the scanner, then connect the scanner and it may say found new device and ask for the program disk, when it is fully installed then try using your scanner software to scan and email.

    Problems of this nature also occur if there is more than one HP device - such as a printer or camera also installed - that will cause software errors - most of which can be solved by uninstalling all HP software - restarting the pc and then reinstalling each device again. Additionally this device is known to have problems on windows upgrades and does not work well with Vista or Window 7.

    Versions of Word and MS Outlook need to be the same versions for the Email Icon to work. For example - If you are using MS Word 2002 and Outlook 2003, you cannot use MS Word as an email editor. They are incompatible. You need to upgrade MS Word to 2003 or downgrade Outlook to 2002.

    First, make sure that the e-mail program you want to use is set up to be the
    default e-mail program (e.g. via Internet Explorer|Tools|Internet
    Options|Programs, and send at least one message using it to make sure it works.

    Then Word needs some stuff in WIN.INI and/or in the Windows registry
    before it will show you the E-mail option, basically you have to tell Windows that it has a Mapi server available for Word to use to send mail and what dll files to load - then it will show the mail option. I believe that for Word 2003 it needs to be in the Windows registry also, but that may depend also on the version of Windows so it is probably better to put the information in both places.

    For WIN.INI,
    a. find the WIN.INI file in your Windows folder (typically c:\WINDOWS),
    make a backup copy of it, and open it in Notepad.
    b. ensure that the following text is in there, and add it if not


    You will need to close all copies of Word before this change has a chance of
    taking effect. It is probably safest to restart Windows to be completely

    c. In your Windows folder, locate and run regedit.exe. If you're on an
    older version of Windows you might need to use regedt32.exe. Please be aware that if you make mistakes in registry editing or delete entries by accident - your windows may not work on restarting - backup your registry before beginning any editing - microsoft site has instructions on how to do that.

    Look for a key called

    HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows Messaging Subsystem

    I would be surprised if it was not there in recent versions of Windows, but
    if it is not, add it. Right click - make new key.

    If it is there, I would expect to see
    d. a subkey called MSMapiApps
    e. a number of "values" with the same names as are in the above list -
    MAPI, MAPIX etc.
    f. an additional value called InstallCmd

    If you cannot see the (e) values, you need to add them. For each of the
    values in the above list
    g. right click "Windows Messaging Subsystem" and select New|String Value.
    Note that although some of these items have numeric values, they should all
    be entered as String Values.
    h. enter the name, as above
    i. double click on the name. A dialog box appears. Enter the value (e.g.
    for the name CMCDLLNAME, enter mapi.dll) and click OK
    j. You may also need to create the InstallCmd value, although I rather
    doubt it. I am less sure about this and about what should go in there. On my
    system, the value is:
    rundll32 setupapi,InstallHinfSection MSMAIL 132 msmail.inf

    When you have done them all, press F5. Then close all copies of Word and
    restart it - or restart Windows, then restart Word and the e-mail
    option should appear in Word and not be grayed out.

    Certainly and if you have any questions, just let me know. Again a caution - when modifying the registry to get word to have an email link - remember to back up the registry and if you make wrong changes your pc may not work and need windows reinstalled.

    Quite welcome and good that the problem is fixed.
    The virus probably affected your email - thereby also affecting all programs that need to use it.
    Most solutions I offer presume that the user has a clean system to stat with.

I have a Fujitsu 4220c2 scanner and when scanning multiple documents it'll take one half half/quarter way through and get stuck. The pick roller and pad assembly have been replaced. What could be causing...

This error is detected when one of the followings occurs: (TWAIN Error-Paper jammed in the ADF - Code DS32002), Scanner panel error-U1
1) A document does not reach the TOP sensor while the scanner has transported the document about 250 mm to pick. (The scanner performs retry operation.) 2) The trailing edge of a document does not reach the TOP sensor after the scanner transports the document by the length (L) below. (The document may have slipped on the rollers) Check the followings: 1.Scan condition - Transported length (L) before jam 2.ADF fixed size - scanning Approximately 450 mm 3.Long paper scanning -1.2 times of the specified value
If the imprinter is installed, paper jam can occur in the following case. If the scanner starts scanning when the imprinter cable (EXT cable) is not connected to the scanner, it does not rotate the imprinter, since it recognizes the imprinter not installed, which results in paper jam in the imprinter section.
Remove the jammed document and close the ADF. When the error frequently occurs, refer to the followings:
1. Do the documents satisfy paper specification? Please read the operator guide for paper specification. 2. Have the documents been jogged? • Align the edge of documents for stable paper feeding. • Remove documents with crease or dog-ear. • Scanning different width of documents may cause skew and result in paper jam. 3. Is the Imprinter EXT cable correctly connected to the scanner? Check the cables. (only when the Imprinter is installed) 4. Clean rollers in ADF and Imprinter and see if the error is removed. (only when the Imprinter is installed) 5. Replace Pick roller and Pad ASY and see if the error is removed. Check the consumable counter from the TWAIN driver screen. When the counter exceeds the values shown, replace Pick roller or Pad ASY.
If the above do not help, then the issue could be caused by the followings:
6. Malfunction of TOP sensor. 7. Malfunction of Cover open sensor. 8. Faulty Scanner Control PCA.
If Imprinter is installed, then the issue could be caused by the followings:
1. Malfunction of Sensor OPB5 lever (only when the Imprinter is installed). 2. Malfunction of Motor LF if the imprinter roller does not rotate.(only when the Imprinter is installed). 3. Faulty Imprinter Control PCA. (only when the Imprinter is installed).

Try this simple step first,

Disconnect the Power cord from the back of printer (while printer is on)
Wait for 10 seconds,
Connect the cord back and wait till it initializes.
Close HP Director or HP Solution Center,
Try to Scan, It should work.

Hi Lynn,

Unfortunately, doesn't have a very satisfying online solution to your problem. Still, there are a few things you can try.

The first is a general diagnostic check of your scanner. HP provides a doc that takes you through some steps, many of which you probably already tried, to see if it's a simple fix:

An error occurred while communicating with scanning device

The next document is a set of diagnostic steps to address errors trying to scan to a PDF:

I don't know if the current situation was created by a fault in the device or some recent change in your configuration settings. I do know you can use the HP Director software installed on your computer to set the scan destination settings:

It's not working

I have the same problem - I tried pluging it directly wall socket - still the same error - I did notice that the plug that connects the from the front load scanner to the flat bed was not really connecting all the way.. it looked like it was but i turned off the scanner and went ahead and made sure that both screws were in all the way (its a little tuff) and then turned back on the scanner - the error went away and it does appear the the connection was not being made completly - I was able to scan several documents. I see that some of you have this as a re-occuring issue. I just got this scanner for one of our locations. Hopfully it does not reoccure.
