When one extension calls another it reads the extension number then the callers name, our phone need to reflect the changes to staff and desk that have taken place and I have no idea how to do this. Can you help?
Also, I need to fix our auto message to say the correct names to the correct extensions, again, I have no idea how to do this. Can you help, with this as well?

Either COPY the config settings from a set where it works to those that don't, or on the sets that do not:
F**CONFIG, Terminals&Sets, (enter ext #), ... Telco Features, 1st Display Name: change between Name, Number, or Line.
And remember that some callers (esp Cellphones) do not provide Name info, so if the incoming calls at that extension are mostly from the same #s, it might be normal.
your phone gets calls in and will associate the name it reads. For example if your friend JOE calls tthen the system will say Call from Joe. But if the number is unlisted or blocked the Call from Number Available message will sound. If you don't have call display the all number coming in are imarked as Number Available.
The person that left the "Solution #1" is incorrect. You can go to a website called Trapcall.com and set your phone up so that you can find out the number of the unknown caller. Unfortunately there is a small fee associated with this feature and it also disables your voicemail. I think it is worth it to have a solution for a troublesome caller.
From an individual extension with a Display Phone:
Press [ Feature ] [ 0 ] [ 0 ]
Press [ Left Intercom ] one time. The display reads: Enter Name (If a name was previously assigned to this extension, it displays instead.)
Enter the two-digit code for each character you want to enter. (See Valid Entries below) For example, to enter the name Andy, press [ 2 ] [ 1 ] [ 6 ] [ 2 ] [ 3 ] [ 1 ] [ 9 ] [ 3 ] . The display reads: 12 ANDY
If you make a mistake, you can press [ Mic ] to clear the display. Repeat Step 3 to enter the correct name.
if you can not transfer a call to voicemail, there isnt a mailbox made. If you transfer a call and it doesnt go to voicemail, then there isnt a mailbox OR it isnt assigned to the voicemail group.
To assign a phone to go to voicemail (if there is a mailbox made) at extension 10 or 11 press feature 00 LEFT intercom Left intercom #310 (auto VMS cover) group 7 enter extension number. If it says 2 not assigned, press "1" so it says assigned. Press feature 00 when done.
If it still does not work, you need to build a mailbox. Will need to know EXACTLY which voicemail it is in that case.
The KX-T7731 is a proprietary system phone. You have a Panasonic phone system. Caller ID is transmitted between the first and second ring but the phone system itself is the only part that gets this information. The system has to be compatible for caller ID and it has to collect the caller ID data and send this information to your phone(s).
Your phone can be used on many different Panasonic phone systems. The phone's part number does not help you. First thing you need to do is find out what system you have and if it has caller ID. The phone system part number should start with KXT like your phone.
