Fax over VOIP? I Can Send Ok, But Can't Receive!

I have read loads of articles about faxing over voip most of which say it cannot be done, I originally tried faxing through a brother all in-one printer/fax scanner machine and had no luck at all.

After giving in to the possibility it might not be possible I decided to see if i could find some software to run on a PC, all i can find is software that uses a modem, so thinking i could plug my pc in, through the ATA (voip device) I tried it and bingo i could send a fax fine over voip, no problems at all, however when dialing in/recieving a fax, the PC seems to answer the call and then nothing, game over... is there anything i can do?

I have set the codec on the ATA device to G.711 as recommended, i've set all the volume features to there highest. But somewhere things are going wrong...

any help would be appreciated

many thanks

If the wall jack has a dial tone, disconnect the telephone line from the telephone and connect it to the jack on the FAX/MFC labeled LINE. Make sure the line cord is connected from the jack on the FAX/MFC labeled LINE directly to the wall jack. Press the Hook or Speaker Phone key or pick up the external telephone handset and listen for a dial tone.If there is still no dial tone, your machine may require service.

Get a new phone wire. Put a phone on the line and listen for static. Too many phones on one line will cause problems. If the phone line is going thru a surge protector, check the quality of the sound with it and without it, it may be damaged. Keep power wires away from phone wires, they cause static.

How do I change the setting in order to use fax on voip line?

The data transmitted during a voice call and a fax transmission are converted to digital pulses in the same way, so sending is not the problem. The problem is at the receiving end. A receiving fax device has to be set to pick up the call before the voice call device, as it is the prompt of the fax transmission signal that makes the receiving fax switch from send or idle to receive mode.

So, if you are faxing over the internet the intended recipient's setup is a complicating factor.

Since faxing to landline fax machines via VOIP would incur a charge, you might consider a cheaper software solution such as eFax (, which enables the receiver to receive the fax as a PDF document attached to an e-mail.

I hope this helps

Can dial out and receive incoming calls but will

Are you connected to a VOIP line for your fax?
A VOIP line can come from a company like Vonage or your local cable co.

If so:

Unfortunatly, faxing over VOIP (Internet) is not always successful. You might want to talk to your VOIP provider if they have a solution.

If not:

Are you trying with the same fax to send and recieve? Some traditional fax machines have probles connecting to fax modems, which is what you have in an Office Jet.
Try having someone else send you a fax and try sending to another number. Otherwise, you might have a defective fax modem.

Cannot send or receive faxes

Use the HP Fax Test
The telephone number for this service is 1-888-HPFaxme (1-888-473-2963). The fax service receives faxes and returns faxes within 5 to 7 minutes to the number contained in the fax header. Solution two: Run a fax diagnostic test
  1. Load plain white paper into the input tray.
  2. Press the Setup button (c01669474.gif ) on the product control panel.
  3. Press the right arrow (c01669475.gif ) to select Tools , and then press OK .
  4. On the Tools menu, press the right arrow (c01669475.gif ) to select Run Fax Test , and then press OK . The fax diagnostic test prints.
Solution three: Check the telephone line and change the HP fax settings Step one: Test the telephone line
  1. Disconnect the telephone cord from the back of the HP fax product.
  2. Figure 1: Two-wire telephone cord c01501963.gif
  3. Pick up the handset of the telephone and check for a dial tone.
  4. On the single-line telephone, dial the fax number of the receiving fax machine.
    • If the receiving fax machine answers the call, continue with the next step.
  5. Hang up the single-line telephone.
  6. Use a second telephone line or a cellular telephone to call the telephone number assigned to the HP fax product.
Step two: Change the HP fax settings
  1. Connect phone line into line 1
  2. Press the Setup button (c01669474.gif ) on the product control panel.
  3. Press the right arrow (c01669475.gif ) to select Basic Fax Setup or Advanced Fax Setup , and then press the right arrow (c01669475.gif ) again to change the menu option settings to the settings listed in the following table. Fax menu Fax menu option Setting Basic Fax Setup Rings to Answer 1 or 2 (At least one more ring than a telephone answering machine, if an answering machine is connected.) Advanced Fax Setup Answer Ring Pattern All Rings
  4. Use the HP Fax Test Service to try to send and receive a fax.
If the HP fax product still cannot send or receive a fax, continue to the next solution. Solution four: Check VoIP digital telephone line Using a VoIP telephone service can cause faxing to fail because fax transmissions are sensitive to the timing of the signals used to transmit the fax. If using a VoIP digital line is necessary, changing the Fax Speed Adjustment setting to Medium might improve the ability to send a fax over a VoIP telephone line. Use these steps to change the fax speed adjustment to a lower speed.
  1. Press the Setup button (c01669474.gif ) on the product control panel.
  2. Press the right arrow (c01669475.gif ) to select Advanced Fax Setup , and then press OK .
  3. Press the right arrow (c01669475.gif ) to select Fax Speed , and then press OK .
  4. Press the right arrow (c01669475.gif ) to select Medium , and then press OK .
  5. Use the HP Fax Test Service to try to send and receive a fax.

Cannot send or receive faxes

How to dial *xx codes when faxing When sending a fax, it may be necessary to enter in a *xx code as the first part of the number. Follow the steps below to dial *99 when using a VoIP service. NOTE: Since the *xx code is an instruction to the phone system, this must be dialed live.
  1. To pick up the line on the HP All-in-One, press Start Black Fax or Start Color Fax without entering a phone number first.
  2. When you hear the dial tone, enter in the *99 code.
  3. Wait a few seconds and then enter in the rest of the number.
  4. The HP All-in-One will complete the fax as normal.
What can be done to help the fax transmission? The communication speed is a major factor in fax transmission over VoIP. Currently there are three speed standards.
  • Fast - v.34 which communicates at 33.6 Kbps.
  • Medium - v.17 which communicates at 14.4 Kbps
  • Slow - v.29 which communicates at 9.6 Kbps
Changing the Fax Speed Adjustment setting to Medium may improve your ability to send a fax over a VoIP network. On most HP fax products the connection speed can be set to a lower speed. Those that do not have a Fax Speed setting generally communicate at medium speed or lower as this was the past standard. Consult your user's manual for information specific to your model. Changing the Fax Speed Adjustment to a lower speed Follow the steps below.
  1. Press Setup .
  2. Select Advanced Fax Setup .
  3. Press OK .
  4. Select Fax Speed .
  5. Press OK .
  6. Select Medium .
  7. Press OK .
  8. Try the fax again. If you continue to have problems faxing, contact your VoIP provider as they may have options to improve the ability to send and receive faxes over VoIP telephone service.
If I could be of further assistance, let me know. If this helps or solves the issue, please rate it.
Thanks, Joe

Make sure baud rate is set to 9600 and error correction mode (ECM) is off. If this does not correct your issue then you may have to contact your provider to adjust your sample rate (packetization). This adjusts the size of the packets and is often a common fix. You may want to run a ping/tracert from command prompt to check for latency and/or packet loss with your ISP. I'm a voip tech and these are the primary fixes for fax issues.

The connecting depends on several issues. This cant be said within a few words.
You have to read the manual which explains the very diffrent setting (see chap. fax). You can download the manual here: (choose your country from landscape, choose your country, choose download&support)
Have a look at the faq, too.
