Question about Go Software Inc. PCCharge Payment Server (100PROL2000SER)
While using the POS (point of sale) program, we swipe a card and the POS program informs us that the credit was not captured. However, PCCharge has in fact recorded it as a credit sale. This will NOT show up in the Process/View List of transactions. We (thinking the transaction has failed) run the card again and then it clears, the POS records the sale and PCCharge records a SECOND transaction which is a duplicate. Neither program trips the "duplicate sale" warning.
Any suggestions as to how to make PCCharge show ALL transactions so we can void the duplicates?
One it is most likely you are getting communications errors while Pc Charge is dialing out which I am assuming you are using DIAL up.
You need to upgrade to Version 5.7.1 or above and then use dial or highspeed connection.
When the software dials out to the bank for approval while that process is going on your communication drops and then PC Charge will have no way of recording the Approval back. So in turn you are running it again where the approval for the first sal e was already done but the response was not captured. Your bank can put duplicate trans stops on the front end. Make sure you upgrade to the newest version.

PCCharge has the ability to "trip" a duplicate transaction warning. In the PCC GUI, go to setup -> Configure System. The first checkbox is "Require Duplicate Transactions to be Forced". What this means is that any time the same card number is run for the same amount during a 24 hour period, the card must be Forced. This is done by adding a capital "F" directly in front of the card number (Ex: F4012888888881881). No space or '+' symbol.
You may also want to contact your POS provider to see if there is a way to up the timeout value coming back from PCCharge. It sounds like if a transaction gets hung for a little longer than avg, the POS is assuming that the transaction was not complete on PCC's side as well. Therefore, it terminates the transaction on the POS side without a cancel msg to PCCharge, so the transaction still happens. Either way, Forcing Duplicate Trans should alert you of the issue. This checks the PCC Databse before the transaction is sent out to the processor to ensure that you are not running the transaction more than once by accident. (You may want to check with your POS vendor on this as well, to make sure they allow alhpa characters to be passed through the card field).
