1~ you need to know the VM huntgroup number ie; number dialled to access the voicemail system
2~ the administrator mailbox number usually, 999 or 9999 by default
3~ the admin vm pin code which is usually 8642 by default
basic menu selection;
4 change system gereetings
1 change primary greetings
the system will supply voice prompts to allow you to change system greetings, The superkey is the Blue key on the top left of the set

if you are trying to change AA greetings follow the above just change the VM box number to the one associated with the Auto attendant alternativly you can configure the greeting from the System administration tool under the following ;
Sys Administration menu -> Voice Mail -> System audio files Update

If you have a Partnermail VS the admin mailbox is 99 with the default password of 1234.If you mave a Partner Messaging System the admin mailbox is 0 with a default password of 1234 or 123456. Once your into the admin mailbox press 9 for admin programming. 3 for greetings, 1 for the auto attendant #.press 1 for the day menu or press 2 for night menu and 6 to modify the menu. press *# to skip selector codes.Press 1 to record your new greeting 1 to stop recording. Press *# to approve or 21 to re-record hang up when finished.

The Telephone system sounds like a Norstar BCM... what Consultel1 gave you as an answer is correct, for a Norstar Key system.
OK, do all that Consultel1 stated:
-> FEATURE 983
-> You will now see LOG:type in 738662 (SETNNA) and press OK
-> You will now see PASSWORD: type in 266344 (CONFIG) and press OK
-> then you will see the ADMIN and the options for MBOX, AA, OTHR
Now follow Consultel1 advise on changing Voicemail Passwords, from his orginal post.
The only thing I can think of is that there is a switch which determines recording time, there was on mine and then there was the VOX option which only recorded as long as they were speaking and cut them off if they didn't talk quickly. You might check and see if somehow they got turned on.
