Modifying group dial lists

How do you modify (add/delete) numbers on a group dial list? we have a list created but need to add/delete numbers to it.

You cannot edit groups, you must delete and recreate.

I need to send 1 fax to several recepts


You can send a fax to up to 142 fax numbers, using any combination of dialing methods:
- One-touch Speed Dialing (up to 32 destinations)
Press the desired One-Touch Speed dial button(s)
- Coded Speed Dialing (up to 100 destinations)
Press [Coded Dial] > enter the 2 digit code (00-99) using the numeric buttons and be sure to press [Coded Dial] before each code
- Regular dialing and redialing (10 destinations)
Enter the number using the numeric buttons or [Redial/Pause] and be sure to press [Set] after each entry with the numeric keys

After all the numbers are listed, press [Start]. The machine will scan in the document (memory) and then begin sending it to the destinations in numerical order, starting with One-Touch, then Coded and finally the numbers dials with the numeric keys.

You can also create a group if you frequently send faxes to the same group of people by first saving them as One-Touch and then adding them to a new group.

Groups cannot be edited, you must delete and re-create a group.

Updating a Group Fax


Assuming the group name will remain the same, you can edit the Sender's name and/or phone number by doing the following:
  1. Go through the procedure to Add a Contact or number
  2. When you reach that Contact, you can edit by pressing the < key to move through the name or number
  3. Press Delete key to remove the name and re-insert the name/ same process for editing the number
The process is as follows to get to the option you need:
  1. Open all three one-touch dialing panels
  2. Press Data Registration
  3. Use up down arrows to get to Add. Registration
  4. Use up down arrows to get to Touch Spd Dial
  5. Use up down arrows to get to the desired Contact name or number
  6. Use side arrows to move cursor
  7. Use Delete key to remove and re-enter Name and/or number
  8. Once the name/number appears as you want it, Press "SET"
This should change the name/number individually and in your group.

Ok,you have to erase the number from the one touch speed dail list and then it will be deleted from the Group dail.

I believe what you want is at the bottom of this list.

If you frequently send faxes to the same group of telephone numbers, you can assign these numbers to a group.
Only Speed Dial and One Touch numbers can be assigned to a group. A maximum of 25 Group Numbers (WorkCentre Pro555) / 50 Group Numbers (WorkCentre Pro575) can be assigned (in the range 1-1999). Preset group numbers can also be used for polling.
The following information is included below:
  • Create a new group
  • Add numbers to an existing group
  • Delete numbers from an existing group
  • Delete an existing group
To print the Group Phonebook, see the Related Items below for additional information.
Create a new Group:
  1. From the Standby Mode, press the [Menu] (up arrow) button on the Control Panel, then press [3], [3].
  2. Use the numeric keypad to enter the Group Dial number (1-1999) you want to assign to this group.
  3. Press the [Enter] button. The screen will display a name.
  4. Use the numeric keypad to enter the Group Name (20 characters maximum), then press [Enter].
  5. Press the One Touch button you want to include in this Group, or enter the Speed Dial number, then press [Enter].

    NOTE: The One Touch and Speed Dial numbers must already be programmed. See the Related Items below.

  6. Repeat step 5 to enter additional numbers.
  7. When you have entered each number you want to include in this group, press [Enter].

    NOTE: Group Transmissions are easier if a group is linked to a One Touch button.

  8. To assign this group to a One Touch button, press the One Touch button. To skip this step, press [Enter].
  9. Press the [Exit] or [Stop] button to return to the Standby Mode.
To add numbers to an existing Group:
  1. From the Standby Mode, press the [Menu] (up arrow) button on the Control Panel, then press [3], [3].
  2. Use the numeric keypad to enter the Group Dial number (1-1999) you want to assign to this group.
  3. Press the [Enter] button.
  4. Press [2] to modify this group.
  5. Use the numeric keypad to enter a new group name, then press [Enter], or press [Enter] to retain the old name.
  6. Press the One Touch button you want to include in this Group, or enter the Speed Dial number, and then press [Enter].

    NOTE: The One Touch and Speed Dial numbers must already be programmed. See the Related Items below.

  7. Repeat step 6 to enter additional numbers.
  8. When you have entered each number you want to include in this group, press [Enter].
  9. Press the [Enter] button.

To delete numbers from an existing Group:

  7. Press [1] to delete this number.
  8. Press [Enter] to delete the number, or press the [Exit] or [Stop] button to exit without deleting number.
  9. Repeat steps 5 through 7 to delete additional numbers.
  10. When you have deleted each number from this group, press [Enter].
  11. Press [Enter].
  12. Press the [Exit] or [Stop] button to return to the Standby Mode.
To delete an existing Group:
  1. From the Standby Mode, press the [Menu] (up arrow) button on the Control Panel, then press [3], [3].
  2. Use the numeric keypad to enter the number of the Group you want to delete, then press the [Enter] button.
  3. Press [1] to delete the group number.
  4. Press the [Exit] or [Stop] button to return to the Standby Mode.

Adding to an established Group Dial list


In most fax machines you cannot edit a GROUP, you can only delete it and create a new group.

WORKCENTRE PE220 - How do I print reports from the fax? and I want to set it up to do automatically, but I also need to look at a certain day, to see if a fax went through. Thanks


Hope this helps.

  1. Press the [Menu] button on the Control Panel until 'Reports' is displayed on the top line of the Display Screen.
  2. Press the [Left] or [Right] arrow button until one of the following reports is displayed, and then press the [Enter] button to print the report.
Report / List Description Phonebook List This list shows all of the numbers currently stored in the machine's memory as Speed Dial and Group Dial numbers.
NOTE: This list can also be printed by pressing the Phonebook button on the Control Panel.
Sent Fax Report This report shows information on recently sent faxes. System Data List This list shows the status of the user-selectable options. This list can be printed to confirm any modifications to settings that have been modified. Scheduled Job Information This list shows the documents currently stored for Delayed faxes. The list shows the starting time of the Delayed fax. Message Confirmation This report shows the fax number, the number of pages, the elapsed time of the job, the communication mode, and the communication results. You can set up your machine to automatically print the message confirmation report after each fax job. Junk Fax Number List This list shows up to 10 fax numbers specified as the junk fax numbers by using the Junk Fax Setup menu. When the Junk Fax Barrier feature is turned on, incoming faxes from those numbers will be blocked. This feature recognizes the last 6 digits of the fax number set as a remote fax machine’s ID. Multi-communication Report This report is automatically printed after sending documents from more than one location. Power Failure Report This report is automatically printed when power is restored after a power failure, if any data loss occurs due to the power failure. elem_1_spacer.gif

Adding and deleting into and out of group phone list


Group setting where? In the driver? In the menu in the machine? In some piece of software?
Are you refering to the name and phone number people see when you fax them?

Please be more specific.

Changing the name and phone number for faxing operations is covered in the owners manual. If you can't find the manual, there should be a copy on Brother's Web Site at www.brother.com
