Hi there
Shouldn't be much of a problem,
You need OCR software. That stands for Optical Character Recognition. It is usually bundled with Scanners and has been around for twenty years.

It works with your scanner software as an extra step in the scanning process.

There are quite a few types, but this is about as far as I can go with the info provided.

If you reposted a new question with Make/ Models of computer, scanner, O/S, if you still have the install disks for the scanner and if you found the OCR s/w that came with the scanner, it would help us help you that much more

Word docs sent as email attachments are arriving in my inbox as png files - useless. How do I change this please


.PNG stands for "Portable Network Graphics". Sounds like the sender may have scanned the document, and sent the scanned document to you? Scans will come out as either .png, .jpg, or .pdf formats.

If the file is a .png, you won't be able to edit in MS Word.

Another thing to check - Make sure when you are working on a Word Document, you are saving it as a .doc file.

  • Open MS Word Document
  • Do your editing
  • Click on the "Fille" button, and then select "save as" option
  • In the window that appears, next to the "save as type" wording click on the down triangle to see different formats to save. Select ".doc"
Bottom line... tell whomever is sending the emails with attachments, to send you the MS Word file, not a scanned file.

How to change scanning from picture to pdf


once you have scanned the picture and saved it . right click on the picture icon. click edit. it should take you into a editing tool like paint . then click file . save as and then the bottom option you can change it to save as a pdf or png or jif, anything your heart desires

  1. Put the document you wish to scan face-down on the glass. Use the alignment markers to help you square up the object. These are usually found on the left-hand edge of the scanning area.
  2. Close the printer's document lid slowly so the document does not shift position.
  3. Select a scan resolution. The higher the dpi (dots per inch) count, the sharper and more detailed the image.
  4. Push the scan button. You may have to do this on the printer itself or on your computer.
  5. Check the preview of your scan on your computer. Depending on your all-in-one printer and software, you may have to prompt your computer to display the preview for you.
  6. Edit the image as it appears on your computer if you want to make changes. Your scanning software might let you enlarge, resize or otherwise manipulate the final product.
  7. Accept the scan and save. Return the original document to a safe location.

I have a Lexmark 8300 most funtions work well from time to time scanning is an issue however OCR funtion WILL NOT WORK. I have the Instal CD, it seams to instal but can not use the function. I am running...


You must have a WORD TYPE program to save the scan too. I had this same problem until I installed Microsoft Office 2003 as well. It has been awhile but that is the case and mine now works perfect. You can get a free download of it for trial use. Or even an open source word program will work. If it ask you where to save the scan choose word or office if you already have them. the reason is you must use an editable program to edit the document.
Don't be surprised if the document you see isn't 100% as the document you scan because this is normal. You must be 100% that your scanned document matches - it is up to you to edit it for mistakes as they are not perfect. Some are in fact way better than others. If I scan a blank application to be completed after its scanned in order to print the completed application, I can't find a way to add and or edit text on it.


if you scan a document it will be a photograph   editing a document is done in a text application like word or notepad   the two are completely different things   i use text bridge  or Paperport Professional  it will read the text off of the scanner bed and convert to a text document   it may make some errors but will still save much time rewriting the document  add the saved text to word and change the font and spacing to try to duplicate the original document  save it  then edit it to your hearts desire

i think you just turn off the setting of virus scan using through bitdefender then you will able to see the attachment directly

I want to scan a form and save it, and be able to fill in the blanks later. I can save it as a pdf document, but can't edit it.


When you scan it, the original manufacurer's software should allow you to save it as a Word document or some other editable format. PDF, JPG, TIF, and other image formats probably won't work.

Trying to scan document on HP Deskjet F4200 all in one series. When scanning small document from TIFF Image this is scanning through as 25.5 MB so I am unable to send this as an attachement to an email as...


Try lowering your scan resolution settings. Magazine quality is 300dpi. If you don't want to lose too much quality, open the file is a image editor and crop only the area you wish to send.

that is normal..scanning produces an image document..which is adjustable through photoshop..not like in word processing
