Question about Sage Instant Accounts 8.0 (013604ug)

1 Answer

Input data I have just bought and installed the sage instant accounts package. I have done the initial setup. Before using Sage I previously did my bookkeeping on MS Excel. Is there any way of transferring that data from Excel into Sage without having to input all the information manually?

If you want to transfer your data into SAS, SPSS, or some other program, follow these guidelines:
The cells in Row 1 should contain the column's eventual data set name. Each name should be a relatively short and unique acronym that clearly identifies the data. It should begin with a letter and contain only letters, numbers, or an underscore ( _ ) where spaces would naturally fall. Avoid using special characters such as $, &, @, in variable names. Since each row represents the values from one subject, the first column(s) should contain one or more variables that give each subject a unique identifier. They become especially important if you need to merge two or more data files.
In Excel, data formats are defined for a range of cells rather than for a complete column. For this reason it is important that each entire column, including cells with missing or uncollected data, have one, and only one, format. Actually, you do not need to format the entire column, only the portion you will eventually use. Highlight that portion and select the appropriate format from the Format/Cells option. Do not select formats that will enter commas, dollar signs, or other visual enhancements. Numeric, text, and date formats (e.g. mm/dd/yy is often a good choice) are probably the only formats you'll ever need.
The "Split" option (under the "Window" pull-down menu) keeps the row of variable names and the columns of identifiers in view, whatever range of cells in the worksheet you may need to review. First place the cursor at the most extreme upper left-hand corner where data entry begins (e.g., the intersection of Row 2 and the column in the upper left-hand corner where data appear) and then select "Split" from this menu. For any row or column of the worksheet you move to, you'll know exactly which variables you are observing (column names) and their associated ID values (rows).
For versions of Excel later than 4.0, one file can contain multiple worksheets. By default, the tabs at the bottom of these sheets are supplied names ("sheet1," "sheet2," etc.). You can change these names by clicking this space with your mouse and entering a new name. Use the same conventions for first-row variable names: use a short acronym of the page contents that begins with a letter, use only letters or numbers, and enter the underscore ( _ ) where a space naturally falls.

If you are unable to logon to Sage you can try deleting the Queue.dta file. All users MUST be logged out of Sage and Sage should not be running. Sage will recreate the queue.dta file when it is restarted. The Queue.dta file can be found in the ACCDATA folder for the Sage Company Data that is experiencing the problem.
Note that the "Username already in use" message from Sage can occur if Sage wasn't shut down tidily for that users session. If you are sure that the user is not actually logged in it's OK to allow Sage to clear the session and log in.

I am trying to change the financial year end date in Sage Instant Accounts??

You can only do this is Sage 50 but you can get it changed by someone who has Sage 50 with the same version number as your instant. They can back up their data restore your date change the year and then backup and you can restore it on your computer and they can restore their data. NB they must be on exactly the same version.

I want to transfer all sate data from my old laptop to my new PC, I have already installed the hardware on the new PC

Sage has an EXPORT function that you can use to transfer data.

You could also copy the daily files from the storage folder to a USB drive

O the new machine use the IMPORT function to import a backup of the files or use the folder options to get data from the USB drive to set up a new company profile which would use your old data to set up a new copy of SAGE with your exisying information.

The prefered option is IMPORT / EXPORT

Hi allweatherra

Sage 50 has a file called company. that holds the path to the sage Data. From version 2007 onwards this is held in c:\documents and settings\all users\application data\sage\accounts\2010(or whatever version you have)

Hope this helps

Sage 50 Accounts 2008

I think I got the solution for you ...

User Name is Already in Use / Cannot Access YYY because XXX is logged in

Typically, when you get this message you will be asked if you want to remove the user from the request list. If you are asked this question, simply answer Yes and you'll be able to continue.

An alternative solution is to go in the data folder for your sage data (the default folder for versions prior to 14 is c:\program files\sage\accounts\accdata for v14, the folder is c:\documents and settings\all users\application data\sage\accounts\2008\company.000\accdata on XP and c:\programdata\sage\accounts\2008\company.000\accdata. In the data folder, you will find a file called QUEUE.DTA - delete the file and you should be able to get back into Line 50. If you have a multi user version of Line 50, you should only delete this file if you are sure that no-one else is using Line 50.
