Question about Microsoft Office Outlook 2007: Windows

Personal Data File did not close properly

I recently upgraded from 2003. Most times when I open Outlook on 2 computers i get an error msg: "Personal Data File did not close properly. Checking file. Outlook may not work properly while file is being checked." (not verbatim, but close)
How do I fix? Thanks.

    I have the same issue-"Personal Data File did not close properly. Checking file. Outlook may not work properly while file is being checked."
    Also, I have my Outlook set to empty the deleted folder upon exit, but many times when I reopen my email the same messages are still there. I have even manually emptied all deleted emails, only to have them return.

    I close Outlook by clicking on the X.

    I just ran REPAIR from the installation disc but to no avail.

    Sorry for being incomplete. I upgraded from 2003, on 2 computers, but neither is networked. No Contacts Mgr. or similar on either one. XP on both. Windows with Service pack 3. I pretty much keep everything updated.

    Since you said you upgraded, I assume you're using Outlook 2007? Are you running it on a network? What operating system are you using? Are you using Business Contact Manager or anything similar with it?

Hope this solves it for you! Here's the official word from Microsoft:
If you receive one or more of these error messages, you may experience performance issues until Outlook finishes the reconciliation process for the .ost file or for the .pst file. The following gear icon is displayed in the status bar while Outlook checks the data file in the background: Collapse this imageExpand this imagePersonal Data File did not close properly - ol2007gearicon.jpg When this icon disappears, the .pst file or the .ost file is reconciled. If you exit Outlook while the gear icon is present, reconciliation must restart the next time that you run Outlook. We recommend that you leave Outlook running until the gear icon disappears before you exit Outlook.

An incorrectly shut down .ost file or .pst file may occur for one of the following reasons:

  • Antivirus scanning of the file
  • Forced Microsoft Windows shutdown before the Outlook.exe process shuts down completely
  • Outlook add-ins
If you see this issue frequently, and you have to exit Outlook shortly before you shut down your computer, it may be better to shut down Windows while Outlook is still running. We recommend that you do this instead of exiting Outlook and then shutting down Windows shortly after that.

How to repair outlook pst file


To restore a file .pst, follow these steps:

From the Start menu, click Run.

In the Open box, type:

Code: Select all

drive: \ Program Files \ Common Files \ System \ Mapi \ KodYazyka \ scanpst.exe

Click OK.

In the Enter the name of the file, enter the path and file name listed in the error message above.

Note. May not be able to use the Browse button to locate the file, t. To. It is located in a hidden folder.

To change the logging during the scan, click Options. If the switch is set to replace or supplement protocol protocol, the log file will be saved in the same folder as the file .pst.

Click the Start button.

When the scan is finished a file, select Create a backup copy of the file before restoring.

Click the Restore button.

If the file has been successfully restored, a message is displayed that the recovery is complete. If using a recovery program "Inbox" file is not recovered, you will need to use a backup file.

Click start control panel administrative tools computer management then select event viewer this may vary depending on what operating system you have
extend the events there you will see errors in red you will no what exactly what the error was and at what time it occured

To resolve this issue for future installations of Office, use the Custom Installation Wizard to edit the MST file. To do this, follow these steps:
On the Change Office User Settings page, expand Microsoft Outlook 2003, expand Miscellaneous, and then click PST Settings.
In the right pane, double-click Default location for PST files, and then type the path that you want in the Default location for PST files box.
For example, type %USERPROFILE%\Local Settings\Application Data\Microsoft\Outlook\.
Click OK, and then follow the steps to complete the wizard. When you have corrected the MST file, deploy Office by using the correct MST file.
To resolve this issue for an existing installation of Outlook that is experiencing this problem, specify the .pst file by using the Mail icon in Control Panel.

When you run the Custom Installation Wizard, on the Change Office User Settings page , you can make changes to any Office user setting on the computer where this MST is deployed. When you click Miscellaneous PST Settings, you can specify a default location for .pst files.
In the Default location for PST files box, you can use environment variables such as %USERPROFILE%. For example, you can give the location %USERPROFILE%\Local Settings\Application Data\Microsoft\Outlook\.

However, you cannot specify a file name instead. For example, you cannot specify %USERPROFILE%\Local Settings\Application Data\Microsoft\Outlook\%USERNAME%.PST.
If you do this, an error occurs when you try to start Outlook.

1. In Outlook 2007, click the Tools menu and select Options.
2. In the Options dialog box, click the Mail Setup tab and then click the Data Files button.
3. In the Account settings window, you will see all of your personal Outlook data files listed. Here, you want to note the full path to each data file. On my system, my Outlook personal and archive folders are stored in the C:\Documents and Settings\Your Username\Local Settings\Application Data\Microsoft\Outlook folder.
4. Once you have this information, close the Account Settings dialog box and then close the Outlook Options window.

Now that you have the location of your Outlook data files, you need to check and repair them using the Microsoft Office Outlook 2007 Inbox Repair Tool-SCANPST.exe. By default, you should see SCANPST.exe in the Microsoft Office installation folder's "Office 12" subfolder. On my system, SCANPST.exe is located in C:\Program Files\Microsoft Office\Office 12. For additional information on SCANPST.exe, take a look at the Microsoft Knowledge Base article, "How to use the Inbox Repair Tools to recover e-mail messages in Outlook 2002 and Outlook 2003."

To check and repair your Outlook data files, follow these steps:

1. First, close Outlook 2007.
2. Use Windows Explorer to browse to SCANPST.exe, then double-click it.
3. When the Outlook 2007 Inbox Repair Tool opens, click Browse and navigate to the Outlook data file location that you found earlier. Note that you will need to check each file listed. On my system, I start with the file archive.pst. To check that file, you would select it in the "Select File to Scan" dialog box and then click Open.
4. Now click Start to begin the repair process.

This should be a one time action, after running the PST files should be okay. If it happens repeatedly, that means the file is still corrupt, or Outlook does not close properly.

So:
- when you close Outlook make sure to wait for it to close before shutting down the computer.
- try copying the PST file(s) to a different disk/folder, delete the old ones and then copy them back to make sure the files are not corrupted.
- if required, create a new PST file, copy all content of your current PST to it and then rename the old PST. In the account settings, point mail delivery to your new PST file.

Outlook 2007 slow on closing and crashes on open


Your computer might be using caching. Can you tell me how much RAM you have on your computer? If you have 2GB of RAM i would recommend disabling the caching. This slows down the system quiet a bit (since it uses miliseconds instead of nanoseconds). Your computer is as fast as the slowest component.  I would also suggest defragging the drive.
