Can email in Outlook be mapped to an external drive?

Our company has very little space on the server for emails. We constantly have to delete or archive our emails. I would like all my emails stored on a drive that I can access and send and receive emails. I am willing to but a expernal drive for this purpose.

I'd get another hard drive for the server. It's just as expensive or maybe less. Let me know if you need any more help.

Why would an email constantly download time after time

If you set up your client (such as Outlook) to download but *not* delete the message on the server, it will download each time you do a "Send/Receive". Basically, it is possible to tell a client to copy rather than move an email message from a server. If you are using Outlook, the article here: http://www.serverintellect.com/support/email/outlook-leave-on-server/
tells you how to configure it to leave a copy on the server. It should be obvious how to make it not leave a copy on the server.
For other client readers there should be similar settings.

Tip

Microsoft Outlook and Outlook Express Maintenance.

If you are often facing the problem of slowness in Outlook or Outlook Express then the total mails may be on the higher side or the mail file size would have been increased. If that is the case please follow the following steps.
1. If the mails have exceeded more than 1500 mails then create sub-folders in inbox and move the mails into that folder (Note: Classify the folders according to the company or persons or type of transaction or Month wise and move the mails into that particular folder accordingly)
2. Delete unnecessary mails or outdated mails by frequently checking it. Even remove it from the "Deleted Mails" folder.
3. Before continuing the following steps try to backup or export mails and keep a copy of your mails.
4. Compact the folders, so that the space occupied by the email file size gets reduced (Note: Even after deleting the emails, the file size remains the same, only after compacting the deleted space will get cleared at the time of compact and the file size gets reduced.)

(Note: Before doing the above steps be careful of taking the Backup on another drive)

Mailbox is near capacity. I'd like to keep my e-mails. How do I expand capacity?

Hello,
If you use a free email provider such as hotmail, gmail etc... they do offer way more space if you pay. If you won't want to pay you could setup your email in outlook, windows mail, outlook express etc... and copy the messages to your local PC and delete them off the server. You could also delete sent items, spam and old emails to reduce your disk space.

I setup outlook and all my emails when to outlook. I didn't want them on outlook but on my comcast email acct. I did a system restore thinking it would go back to my comcast account and I've lost them. How...

Basically you can't. You set up Outlook as your email client, it downloaded and deleted the emails from the server then you thought that they would magically reappear . They don't. If you didn't want Outlook as your email client you shouldn't have set it up, or you should've set it up to leave messages on the server.

All old emails 11000 of them keep being loaded. unable to recieve new email.Connection to server ok.

I am assuming you are using Outlook Express or Office Outlook.
If you are trying to setup an account on a new pc or on a different computer will automatically load your mail from off of the server your mail account is on, there is no real getting around that. there is a way to save your self the trouble though. You can back up your current account on the previous PC and import that back up file to the new pc with your Outlook you are trying to setup and it should reconcile with your server and should stop the upload of 11000 messages. Please let me know if this fixed your problem or if you need further instruction on how to do this process.

I am using a web portal to access my outlook emails and do not go into the office. I need to archive my email from the web portal can this be done

One solid solution is to setup your Email account on Outlook or Outlook Express and then use that to download your email / post office locally. From there you can back up this post office to an external hard drive or CDR (depending on the size of the files) and create a restorable archive of your email. Please contact your email administrator and inform them you need your Account / Email Server settings and that your going to use outlook to download your email.

Tip: - Before you Send/Receive email with your Outlook or Outlook Express - Change your Advanced Email Account settings to LEAVE EMAIL ON SERVER, this way the web portal will still contain a current copy of email and match what is downloaded in the outlook email client. To access this feature you can contact me via email at solidlava@hotmail.com and I can walk you through it.

Using Outlook on my pc - disappearing email on my iPhone

Hi, Possibly this could be the reason. Your iPhone might have been setup with IMAP connection, and Outlook with POP3. In this case, once email is downloaded by Outlook, it will be deleted from the att.net server. So, go to Advanced in your Outlook account configuration and Select the option leave a copy on the server.

Then you will have to delete all the emails individually from your phone too.

Thanks

Outlook 2007 incoming emails keep coming from the server multiple times

If your getting duplicate emails from the same server, either #1 you've configured multiple email accounts for the same email address or #2 see below.
You will find these setting under TOOLS/ OPTIONS/ MAIL SETUP/ Click Email Accounts, under the Email tab, click "change". This will list all accounts. delete any duplicates for the same email address.
#2 If there are no duplicates in Outlook its possible you've told your email server to forward your email to you.
What Outlook does is retrieve this mail from the server, so doing both would result in duplicates as well
Let me know if this helps
