Since you asked this question in a 76xx forum, you have a TDA phone system. A TDA has timers that set where unanswered phone calls route to, one of the ports being voice mail/auto attendant.

There is no "simple" explanation for setting auto attendant. Each installation is different. You first of all, have to know which phone system and voice mail you have, then, know how the AA was set up.

For example, in a TVA voice mail, the setup is visual. you log in via the console and drag icons to the screen that maps the call routing. Since you start with custom menu 1, it sets your custom greetings 1,2,3, etc. In a TVS, you build custom service menus by hand.

While phone intercept is straightforward, trunk (line) is not. The voice mail knows whether the call is coming from a phone or a trunk and each has to be defined. In the case of an extension, you already know it goes to a voice mailbox and plays the greetings established for that person. In the case of a trunk, it may be a different greeting for each trunk for day, night, lunch, and break. Those parameters are all set in the TDA and TVx both.

I hope your head hasn't spun around several times, but the best idea is to sit with your voice mail administrator and phone system installer and get the picture of how the system was designed. You should get specific instructions of how the system handles calls and how you change greetings. You need to get the passwords and instructions for mailboxes 998 (message manager) and 999 (system manager) and a location of all greetings.

If you're into learning, a copy of the manuals for the voice mail and the windows software (if TVA) should have been delivered to your site with the system. In addition, the PT Programming manual (PTPM) can be requested from your dealer and it will allow you to make changes to your TDA.
Spending 5-10 hours with the manual some time will give you a better idea how the systems work.

Also, a spare PC with USB ports and a network card could get you remote maintenance from your dealer and maybe get you free or reduced cost maintenance and changes.

I know this is probably not the answer you're looking for, but I hope it helps.

Carl

The answering machine out going message is a pre recorded message with a British lady's voice. We have our company message recorded as per manual, what are we doing wrong?

Marianne
If a personal greeting has not been stored, the pre-recorded greeting is played.
unfortunately the user manual does not say how to store a greeting but I am assuming you have to press 2 to accept the new recorded greeting and hopefully it will store the recording as it is not really explained in the user manual on the process on how to store a greeting.

Can I retrieve an erased greeting message on a panasonic answering machine model #kx-TG9341T

Unfortunately the news is not good. The answering machine does not have tape storage. Everything is stored on a memory chip. Anytime you re-record the incoming call greeting, you overwrite the previous greeting. Sorry.

Where do I change my message after hours when the phone rings

This function varies substantially depending on the make & model of voice mail system that you have. The voice mail system also needs to have a schedule defined that matches your (or your company's) business hours. Setting this schedule up is the responsibility of the system support person. From that point the procedure for recording your out of office or closed greeting will vary, per the make/model of voice mail equipment that you have. On some systems this is referred to as your extended absence greeting, on still others it is called your alternate greeting. On yet others they call it the 'closed' greeting. Hope this helps.

When people leave me a message - the answering machine does not show that I have a message. The person calling hears the greeting - leaves a message, but I do not receive the message.

It may be similar to the problem I had on wireless home phone with answering machine not taking messages when had the answering machine set to 12 rings before answering. Found the sim card (my wireless system) auto response would answer first. Fixed it by reducing time to 6 rings and answering machine now comes on first.

Simply hold down to greeting button for around 5 seconds and it will tell you to record you new greeting. To stop greeting recoding after you finished speaking then just push play. Listen to your new recorded message.

How do i create my outgoing message?

Press and hold greeting button & after you hear record greeting and a conformation tone then you say whatever you want for a message. It could be as simply as "You know what to do after the Beep". After saying your message press (but do not hold it down) the greeting button to hear your new message.

Greeting setup

A TVS-50 may have a custom greeting recorded. It is set up with a terminal and through the message manager's mailbox (998). We use 30 for day 60 for night, but an installer may have put it on any of the 100 boxes. It's easiest to get a TVS-50 manual, if you don't have one, let me know, and set up hyperterm and the serial port to get into the voice mail system to see how it was programmed.

Once you know how, changing the greeting is a piece of cake :-)
