Question about Panasonic KX-TG4000 Cordless Phone

Panasonic KX-TG4000B I came into the office this morning to check messages and when I went to the message menu it is asking for my area code and phone number which it has never asked before. Usu. just asks for the pin and I can view messages. Tried putting in phone number and pin and it keeps telling me invalid numbers. Called the phone number to hear if tenants can leave messages and it says no mailbox has been established for this phone number. Nothing has changed for a year using this phone and I don't have a manual for the phone. What are the steps I need to do to establish the mailbox and greeting services? Greeting service and mailbox have mysteriously been deactivated.

The KX-T7456 is a proprietary system phone. You have a Panasonic phone system and a voice mail, both separate items with their own part number. Your phone can work on several different systems and use different voice mail so your first step is to determine the part numbers from the system and voice mail. Then you will need a "programming" manual or possibly "administrator's manual" NOT a "user guide" for at least your voice mail and maybe for the system as well.

Sign in to mailbox 999 and 998 and poke around. You should find some greetings in there. Else, if you have the installer software you can go in from that and make the changes.

By default, a Panasonic TVA voice mail system can have a password set. It could be 3 plus the extension number, but it doesn't matter. You can clear it by logging into mailbox 999 and going to options 6 1 3 which will be the mailbox password menu. Select the lady's extension and follow the instructions to confirm password deletion.

Now she can call voice mail from her extension and set a new password.

This also works for a TVS system.

You need to change the password on 998 if you don't know it. You can delete the mailbox password from mailbox 999 (if you have that password...).

Otherwise a certified dealer will need to use a computer to reset the password.

In the worst case scenario, the dealer's password is lost too... but a certified dealer can do a total reset on the system and get it set up again. One of the things we always do is provide a button on the receptionist's phone that shows when a message is left in 998 - a very popular feature indeed, but it does need to be planned for when the system is first initialized.

When you record it, you press 1 immedately to stop recording. From there it will say press 1 to review and 2 to accept or 3 to record again or something like that. You need to select 2 to save.

The KX-TGA642C is a handset for the KX-TG6421 series phone system. (These are sold as the KX-TG6422 or KX-TG6424, depending on the number of handsets in the initial package.) To record a greeting message, make sure that the phone (all handsets) is in standby. Then press Menu on a handset. Press # 3 0 2 (or use the Up/Down arrow keys to navigate to Ans Device > Greeting > Record Message. Press Select to each menu/sub-menu section.) Highlight Yes and press Select. After you hear the beep, speak your message clearly. Press Stop to end the recording. (The maximum greeting length is 2 minutes.) Press Off to exit the Menu system. If the answering system is on, this message should play.

Don't know the extension to check messages.


I need to know what phone system you have. If it has a VM system and the model of that unit.
I am going to make a hunch here that you have a KXTD unit (816 or 1232) and a VM system that goes with it. The system will know who you are by extension number when you hit a red lit Message lamp on the phone. If it is off, use Intercom 165. In most cases you will need the password otherwise you will need to reset them. I caution you that you should get a Panasonic tech into your office to handle this for you though.

I bought a home with the Panasonic KX-t7731 phone system installed. We have a new phone number. I am unable to set up voicemail (although voicemail answers) and I am unable to retrieve my messages. Help!


What's answering the calls, is it the Panasonic system or the central office? When you figure that out, and it's locally, then post back with the model number of your phone sytsem cabinet and whether you dial 107 or 115 ot get into voice mail, or the message is left in the central office.

The red light means you have a message. Press the MESSAGE button and look at the display. A soft key will let you call or delete the extension that left the message. After they're all gone, the red light will go out.

Press the MENU button. Scroll down to V.M. Access. Press SELECT. You should be asked to put in a 3-digit number that is easy for you to remember. After you put in that number, press SAVE. Now, when you are not at home and want to hear your messages, let phone ring until the answering machine kicks on. As soon as your message starts playing, quickly put in the 3-digit number you selected. Your message will cut off and you will hear something like "You have 4 messages" or whatever number you have. Then it will say "press___ to play back all messages". That should do it. Just don't forget the 3-digit code you selected. I wrote mine down until I remembered it!!! :) '

with voice mails there usually is a phone code you have to use if its office phone code i would check with the 1234 or 12345 this is basic for whole office voicemail

Answering system


It first sounds as if the handset isn't charged properly. Check the battery status first. The manufacture advises to charge the system for approx. 7 hours before any use occurs. Second, make sure that the registration took, when programming the phone originally. I would de-register the handset by: 1 {MENU} i {0}{0}{2} 2 {3}{3}{5} i {OK} 3 Select the handset you want to cancel by pressing the desired handset number ({1} ? {4}). Then re-register by: 1 Handset: {MENU} i {0}{0}{1} 2 Base unit: KX-TG6021/KX-TG6022/ KX-TG6023 Press and hold {LOCATOR} until the IN USE indicator flashes. KX-TG6051/KX-TG6052/ KX-TG6053/KX-TG6054 Press and hold {LOCATOR/ INTERCOM} until the IN USE indicator flashes. LAfter the IN USE indicator starts flashing, the rest of the procedure must be completed within 1 minute. 3 Handset: Press {OK}, then wait until a beep sounds. 4 {OFF} Third, make sure that the display on the handset does not show "SP-Phone" in the display, if it does press the phone icon button. Fourth, Do you currently have voicemail from your phone service provider? If so, the answering machine will not answer. Make sure that the answering machine portion is turned on. Do this by: Press {ANSWER ON} to turn on/off the answering system. When the answering system is turned on, the ANSWER ON indicator lights.
