I would suggest the XD card is corrupt. You may be able to copy the recording off the machine by copy and paste in windows explorer. If not then they are lost. Data recovery will not work very as the files are recorded in dss format.

Only option is to format the card on the PC.

To enable hands free recording with this device whilst it is in the cradle you must purchase the Olympus foot switch (RS25/26) which is sold as a seperate item.

The footswitch must be connected to the device and the slideswitch must be in the stop position when connected to the cradle in order to enable this function. The device will not function as a handsfree from the cradle without the addition of the footswitch.

This is a classic: the 4-position-slide component (which includes the NEW button) is the weakness of the DS-4000. You need to get this replaced. If you are UK based, contact BES in Luton who will charge you circa GBP70 for the replacement.

This is a know issue of the initial releases of DSS Pro 5. Downloading the update (using the Update option inside the software) will not really fix it, but will at least give you an option to override the Locked status. This "fix" appears from update 5.0.5

The RS25 is compatible. The problem is the driver is not installed automatically. It can be found in the tools folder on the CD.

may need to safely remove hardware before unplugging the devices

when unplugging the device from the computer, make sure to safely remove hardware icon

press the rewind button twice to get to previous files

You will need a new memory card, 1 gig or less, and not the new HS 1 gig cards. Look for a M type or get a 512 or smaller.

Make sure you have the latest update of the DSS Player Pro software. Check under Help > About Dictation Module. You should be using version 4.10.3. If not, download the latest version with the latest Vista drivers.

It's difficult for any techie to diagnose an occasional crash without seeing your computer at the time it crashes. Kind of like going to a doctor and saying "my leg hurt last month. Know why?" Also, you don't say what type of computer you have, PC or Mac.
That said, there are some "first steps" you should take, and, since you own a DS-4000, you should contact your Olympus dealer, since they're obligated to provide you with customer support (although it may not be free):

1. May sure your software is up-to-date. Get the latest version to make sure you're not the victim of a bug. After you install the update, restart your computer for good measure.
2. Turn off any applications or task bar tools that you're not using, particularly those that deal with cameras, scanners or memory cards. Adobe Photodownloader is a common culprit, as it interferes with the DS-4000, thinking it is a camera with a memory card.
3. Update your Operating System. Always. Sometimes, the bugs are not with the Olympus equipment, but with Windows or MacOSX.

That's a quite involved problem, as it could be any number of mis-configurations, mail server blocks, etc.
Since you have an Olympus Pro product, your dealer is obligated to provide customer service (although it may not be free - we're fairly unique in providing free installation for our customers). They should be able to check the configurations on both ends of the situation and make the appropriate adjustments.
Sorry to say, but the configuration of a DS-4000 system is not clear-cut or easy. It's not necessarily Olympus' fault, as anytime you deal with e-mail it can be difficult. Personally, we prefer FTP for transfers: much easier, faster and safer than e-mail.
Sorry we can provide a more complete answer, but there are much too many things to discuss in one simple posting.

Make sure all the files from the memory card have been downloaded and saved to the computer. You are going to need to format the memory card to remove the write protect/read only/lock issue. By formatting this will permanently erase all data from the memory card so you are able to use it again.
To format the card: go to Menu - to Submenu - to Format option - Start - then Start again - Press Menu to initiate the process - When done the recorder will be able to be used for recording purposes again.
