First lets start with the missing coolant.
Check your oil dipstick, both cold and hot. If the oil shows any signs of a milkshaky consistency your head gasket is blown. If it is only a slight leak that started recently it may not have reached the milkshake stage yet so look carefully for any signs of foreign substance in the crankcase(oil resorvoir). If all is good there then look for signs of a leak on the lower weep hole of the water pump. You may need a telescopic mirror or to get under the car with a flashlight to see the small hole in between the two lower splines. Next check for leakage out of the coolant resorvoir jug. They sometimes crack or develop a slight leak that is hard to notice because it will accumulate in a spot not neccesarily inspected for coolant leaks. This all assumes that you've checked the length of your upper and lower rad hoses, the bypass hose and the two smaller heater hoses that go to the heater matrix(core) in the dash or firewall. Check for a leak anywhere along the radiator both front and back, near the draincock or along the walls separarting the tranny fluid cooling area from the coolant cooling area. Next you can check for a leak around the thermostat and the rad cap. All of these checks should be done with the engine at operating temperature except initial hose inspection which should be done twice once when hot. If these all prove dead ends you should suspect a heater core problem. Is the area on the floor mats under about where the two heater hoses enter the passenger compartment wet or do the windows fog up needing a/c to defog? If so your heater core is leaking. And finally if none of this helps you can check the frost plugs for leaks. They are hard to find. They are circular cutouts found on the engine case. There may be quite a few.
Post me with your results and we'll move on to your secondary problem. Oh yeah also check for a leak where your coolant temperature sensor enters the engine usually somewhere near the thermostat. Looks like a large screw with wires coming from it.

most likely a dash bulb. the clocks willhave to be removed and the bulb or bulbs replaced. small job

Where is the oil leaking from?
If from the ends of the drive shaft then its just a seal that needs to be replaced and if the drip is heavy i suggest changing it asap.

Changing engine oil every 5000 KM or every 2500?

The service duration is affected by many things.. If you are driving in a dusty atmosphere or doing a lot of high RPM but low gear driving, change the oil every 2500kms. if you do mainly highway driving with low rpm but top gear, change the oil every 5000 kms. As a rule, I always replace the oil filter at every oil change even though toyota says you dont have to.

for topping up the transmission at the front of the gearbox there will be a rubber bung pull that out and top up with atf fluid, if topping up don't work then there could be a electrical fault check all wiring to gearbox for corosion

had exactly the same problem with mine, its in my mates garage as we speak. he had to take the engine out open the gear box and check the bearings. All the bearings were worn !!!! had to buy a wole bearing kit, £170 . plus labour, lot cheaper than getting it reconditioned by specialists!!! they wanted £1000 for doing exactly what my mate has done for me. Hope this helps you!!!!!!!!!!!!!!!
